This means that you can now send scheduling links through text and email to any of your patients. To make it even better, you can also schedule appointments in real-time for any of your patients inside of Dental Intelligence. Gone are the days of having to mindlessly jump back and forth between two or three systems.

This insanely innovative and never-before-seen solution will enable you to find the best possible patients that need the care you can provide them. It will allow you to fill your schedule with the right patients, which is what your practice needs in order to slingshot out of this pandemic.

---> 1. Will this new functionality cost me any additional money?

As a paying Dental Intelligence and LocalMed customer, this functionality will come at no additional charge to your practice. The ability to send texts, emails, book appointments in real-time and copy scheduling links will now be accessible for your practice. If you don't see that functionality inside of Dental Intelligence, please reach out to our support team.

---> 2. Can Dental Intelligence send text messages or emails to my patients to get them to schedule an appointment with my practice?

The answer is yes! To send a one-way text message and email to a patient, access their patient card and click the calendar icon below their name. Next, click on 'Send Now.' This section allows you to choose between three different scheduling scenarios: 

  • I need to move this patients existing appointment

  • This patient broke an appointment 

  • I want to schedule a new restorative appointment with this patient

  • I want to schedule a new hygiene appointment with this patient

Just simply choose the scenario that matches why you're wanting to contact the patient and then click send. A pre-built text message and email, along with a scheduling link will be sent to that patient.

---> 3. What do the pre-built templates for text messages and emails say?

  • Scheduling scenario 1: I need to move this patient's existing appointment

Text Message: "Due to conflict, we're needing to move your upcoming appointment for [practice name]. Sorry for the inconvenience. Click to reschedule: [Link]"

Email: "Hi [First Name], Due to scheduling conflicts, we need to cancel your upcoming appointment on [date & time]. We apologize for any inconvenience. Click the button below to reschedule your visit."

  • Scheduling scenario 2: This patient broke an appointment 

Text Message: "We missed you at your appointment! Let's get you rescheduled for another visit at [practice name] by clicking the link below: [Link]"

Email: "Hi [First Name], We missed you at your appointment! Let's get you rescheduled for another visit. Click the button below to reschedule your visit."

  • Scheduling scenario 3: I want to schedule a new restorative appointment with this patient

Text Message: "Hey [First Name], you have some dental work that needs to be taken care of at [Practice Name]. Click here to schedule: [Link]"

Email: "Hi [First Name], Our records indicate you have outstanding treatment that needs to be taken care of. Click the button below to schedule your appointment."

  • Scheduling scenario 4: I want to schedule a new hygiene appointment with this patient

Text Message: "Hey [First Name}, it’s time to get you scheduled for your hygiene visit at [Practice Name]. Click here to schedule: [Link]"

Email: "Hi [First Name], Our records indicate you're due for a dental cleaning. Click the button below to schedule your appointment."

---> 4. Can I customize the pre-built templates for text messages or emails?

Yes you can. To do this, click 'Send Now' and then click on any of our 4 pre-built message templates. From here, you'll notice a box at the bottom of the patient card that shows the message preview. In the top right hand corner of the preview box, you'll see an edit button. To change the wording of the message, click 'edit' and then make the changes you'd like. Once your changes have been made, click 'save' and then click 'next.'

---> 5. Are there any additional charges for texting patients?

There are no additional charges for sending text messages to patients. We cover the fee for you and it is included in your monthly LocalMed subscription.

---> 6. Will I have a record or history of how many texts or emails my team has sent to a patient?

Yes you will. Once your account is set up to use Online Scheduling, you'll notice a new icon at the bottom left-side navigation bar inside of your Dental Intelligence portal.

To view your schedule, click the Online Scheduling icon on the left-side navigation bar. Once on the page, you'll have a complete look at all of your online scheduling activity. This means appointments scheduled from texts and emails through Dental Intelligence, and also any appointments scheduled on your website, social media pages or Google business listing by your patients.

---> 7. What phone number and email address will text messages and emails come from?

When your patients receive a text message, it will come from a Dental Intelligence owned phone number. It will not come from your office number and we do not provide the ability to do that with this service.

You do however have the ability to change aspects of the email that patients receive like the email address it comes from. If you're interested in doing this, you will need to contact our LocalMed support team and discuss 'White Labeling' emails that get sent to your patients.

---> 8. Can patients respond to text messages or emails?

Patients can, but will most likely not respond to text messages or emails. Every text and email that gets sent from Dental Intelligence will include a scheduling link, making it very obvious that scheduling an appointment is the action the patient needs to take. If your patients happen to respond to a text message they will receive an 'Error - Invalid Response' message. If you're concerned about receiving text message responses from your patient's, we recommend using the 'Send Your Own' option where you can copy and paste scheduling links into your own drafted text messages. Choosing to send your own messages does require you to use your own patient communication platform.

If you're concerned about receiving email responses from your customers, we recommend chatting with our LocalMed support team about how you can view any email responses.

---> 9. How do I book patients myself inside of Dental Intelligence?

To do this, click the ‘Book Now’ option and then choose which practice location - if you have more than one. From here, you’ll choose if the patient is a new or returning patient and what you’ll be scheduling them for. Next, open the schedule of the provider you’d like to schedule the patient with. Then, click on the preferred appointment time, gather the necessary patient information, click ‘schedule appointment’ and the appointment will be scheduled in your practice software.

---> 10. It doesn't look like I have the ability to schedule patients inside Dental Intelligence? Why isn't it working for me?

First and foremost, your practice must be set up to use both Dental Intelligence and LocalMed.

If your practice is set up to use both LocalMed and Dental Intelligence and you still aren't seeing the new schedule feature, please contact our support team. They will be able to gather information for your practice and work with our team to ensure you're able to use this new scheduling functionality inside of Dental Intelligence.
