Engagement: Contact Patients with Missing Forms in Bulk

Learn how to filter a list of patients with outstanding forms and send them a forms link reminder message

Ensuring that your patients have filled out their required forms before their appointment can be a time-consuming task. Engagement makes it easy to create a list of patients with missing paperwork and then message them in bulk, saving you the hassle of tracking everyone down.

Request missing forms from patients

To send a forms link reminder message to patients with all types of missing forms:

  1. Click on the Patients dashboard

  2. Click on the Future visit column and hover over Date. Choose the appointment time frame that you would like to filter by (ie, Tomorrow or This week)

  3. Now that you've applied your filters, click on the checkbox to select Bulk Actions, then click on the Bulk Actions column dropdown

  4. Choose Prepare forms and consents

  5. Choose the delivery channel (email or text)

  6. Select the checkbox Request all missing forms

  7. Click Send & Close to finish

What does the message to patients say?

To see the message that your patients will receive when you request forms, navigate to Settings > Verbiage.

Expand the Form filling request message and click on the pencil icon to make changes.


Use Patients dashboard filters to capture patients missing particular forms

Only need to contact patients with outstanding new patient paperwork or that have a medical update due? The Patients dashboard makes it easy to create a patient list using filters in just a few clicks.

'New patient forms missing' filter

To find only patients with new patient forms missing:

  1. Click on the Patients dashboard

  2. Click on the Filter column and select New patient forms missing

'Medical update due' filter

To message only patients due to fill out an updated medical history:

  1. Click on the Patients dashboard

  2. Click on the Filter column and select Medical update due

Once you've filtered by patients missing their new patient forms or are due for a medical update, click on the Future visit column and hover over Date. Choose the appointment time frame that you would like to filter by (ie, Tomorrow or This week). Using this filter will ensure you only contact patients who have an appointment in the near future. Next, see step #3 above to send a message to patients with a link to fill out their forms.
