When you have automatic ledger writeback enabled, Dental Intelligence attempts to push each transaction to your PMS ledger one time only. It doesn't retry failed writebacks, which prevents duplicate entries and keeps your PMS ledger accurate.
If you notice that a payment hasn't posted to your PMS even though automatic writeback is enabled, you can post it manually in just a few clicks.
Why does automatic ledger writeback sometimes fail?
A transaction may fail to write back to your PMS because of a bridge disconnection, a timeout error, a payment made on an inactive patient's account, or temporary server instability. A failed writeback usually doesn't mean anything is broken––it just means you'll need to post that transaction manually.
Step 1: Find the transaction in Dental Intelligence
In the left side menu, click Revenue Cycle > Payments > Transactions
Locate the transaction(s) that shows as Not Posted
Click the Actions button for that transaction
Step 2: Check your PMS and choose the right action
Before choosing an option, check your PMS or patient ledger to see whether the payment is already there. Then follow the option that applies:
If the payment is not in your PMS | If the payment is already in your PMS |
Click Post to ledger. Dental Intelligence will send the transaction to your PMS.
| Click Manually mark as "posted to ledger." This updates the status in Dental Intelligence only and doesn't send anything to your PMS.

⚠️ Don't click "Post to ledger" if the payment already appears in your PMS. This will create a duplicate entry on the ledger. Learn more about how to post payments to the ledger.
Step 3: Confirm the payment posted
After clicking Post to ledger, check your PMS to confirm the payment now appears. If it still doesn't post, check that your bridge is connected, then contact Dental Intelligence Support for help.
