DSO: Multi-Location Scheduling with Dental Intelligence Online Scheduling

How to Create Group-Level Services

As part of a DSO (Dental Service Organization) or dentistry group with multiple locations, it's important to set up Group-Level Services in Dental Intelligence Online Scheduling so that you can invite patients to book online at your location(s).

πŸ“Œ Before you can match Group-Level Services, you'll need to create Practice-Level Services for each location. Learn more here.

  1. In the left side menu, click Schedule > Online Scheduling

  2. Click on the Group-Level Services section, then click Match Service

  3. Fill out the following fields:

    1. Service Name

    2. Description of the service

    3. Once you've entered a name and description, Dental Intelligence will automatically search for practice-level services across your locations that match the name/description you've entered. Be sure to confirm that we've matched the correct service or click on the dropdown list for each location to choose a different service

  4. Click Create

Now that you've connected your Group-Level Services, you can start sending invitations to schedule and create Custom Online Scheduling Links to add to automated messages or to your website!

Practice-Level Service Type Configuration for Dentrix Enterprise & Open Dental Clinics Users

Dentrix Enterprise and Open Dental Clinics users can offer patients the ability to schedule services online with providers from multiple locations. When setting up a new or existing practice-level service, select the providers that you would like patients to be able to schedule with:

During the online scheduling experience when a patient selects an appointment time with a provider, the practice location and address details are provided to avoid confusion.

In addition to being able to view providers from multiple locations in Online Scheduling, you'll also see them throughout these additional Dental Intelligence dashboards:

  • LiveOps dashboard

  • Patient Finder dashboard

  • Action Items dashboard

If you'd like, you can also choose to allow double booking for any practice-level service type. For example: If the doctor was scheduled from 10:00am-11:00am in Operatory 1 but was assigned to Operatory 2, this selection allows the doctor to be booked in Operatory 2 as well.


Invite to Patients to Schedule a Group-Level Service

When inviting patients to schedule online, individually or in bulk, you can send

  1. From the patient 3-dot menu or Bulk Actions, select the Invite to Schedule option

  2. In the window that opens, select the practice locations the patient(s) can schedule with

  3. Then, select the group-level service type

    πŸ“Œ All available providers will be automatically selected as specified within the practice-level service types for each location.

  4. Set the earliest scheduling time (patients won't be able to schedule earlier than the number of weeks you set) or leave this field blank if you would like to show the earliest availability

  5. Choose the preferred delivery channel for non-app users (email or text)

  6. Add a follow-up message if patients don't schedule after receiving the initial invitation

  7. Click Send Invite


Track Online Scheduling Performance Efforts

Scheduled appointments in the Performance Dashboard show statistics on new and returning patients from the date range you have selected. The Performance Dashboard allows you to view scheduled appointments for both new and returning patients, providing a clear picture of patient demand, which can inform staffing and scheduling decisions.

As a multi-location practice, you can select multiple locations to view this data for each office. To view scheduled appointment stats:

  1. In the left side menu, click Schedule > Performance

  2. From the location dropdown on the right side of the page, select the available practices

  3. The graph will update to reflect multiple locations and show the corresponding data in totals at the top of the graph

  4. Hover over the color block sections in each column to see how many appointment types are attributed to each location

Please note: Data on the Performance Dashboard can take up to an hour to reflect any changes.
