Dental Intelligence Patient Card

Learn how to navigate the patient card in Dental Intelligence

Keeping up with every patient’s individual needs can be overwhelming in a busy dental practice. The Dental Intelligence Patient Card was created so you and your team can easily have access to all patient information in one spot: see patient contact information, prepare forms and consents, send treatment plans, track communications, collect past-due balances, and so much more!

How to Access the Patient Card

Within Dental Intelligence, there are multiple tabs from which you can view patient cards. All you need to do is click on a patient's name to open the card or look for the three-dot menu available next to a patient's name.

  1. In this example, we'll access the patient card from the Personal Assistant. Click on the Personal Assistant dashboard in the left hand menu

  2. Access the patient card by clicking on the 3-dot menu next to a patient's name

  3. Select Patient Card from the dropdown menu


Patient Details Overview

General Details

Once you've selected a patient and opened their card, you'll see general information regarding gender, age, insurance eligibility (if available), and DOB in the Details section. If the selected patient has any related family members or guardians, they will also be shown here. You can view contact information and any related internal Patient Notes left by team members.

Important note: Patient's notes left in the Details section of the Patient Card do NOT write back into your practice management software.

Insurance Verification

The ability to verify insurance eligibility from within the patient card is only available if you have our DI Insurance subscription included in your subscription. If you don't have DI Insurance, CLICK HERE to request a demo!

In the Details section of the patient card, locate the patient's insurance status. Click on the refresh icon to review their insurance details.

Add insurance details directly in the Patient Card, then click Verify insurance.

CareCredit Status

The ability to verify a patient's CareCredit status from within the patient card is only available if you have our CareCredit integration enabled. Learn more here.

Quickly see a patient's CareCredit status in the Dental Intelligence patient card. Just click on a patient's name to open their card.

Depending on the patient, you may see any of the following statuses:

  • Pre-Approved: The CareCredit Quickscreen Batch Service has determined that this patient is prequalified for a CareCredit account based on their upcoming appointment(s) but they are not an existing CareCredit cardholder.

  • Existing Cardholder: The patient currently has an active CareCredit account that they may use to pay for treatment.

  • More Info Needed: CareCredit doesn't have enough patient information; the patient must submit new application.

Documents

View completed forms, consents, treatment plans, and other documents related to the selected patient within the Documents section.

If there are no available documents to view, you can also prepare forms, consents, and treatment plans here directly by clicking on the blue buttons available within the Documents section.

Tasks

In order to view Team Tasks in the patient card, you'll need to have the Dental Intelligence full bundle. If you are an Engagement Module-only user, you won't see Tasks. If you are interested in learning more about the Analytics Module, CLICK HERE to request a demo!

See outstanding Team Tasks or create new Tasks in the patient card by clicking on the Tasks section.

Communication Log

From the Communication log section, view the patient communication records and filter by communication type.

Click on the Type column and select the communication type to filter by one or multiple messaging categories. View the content of each message by clicking on the Content dropdown in each line item.

Note: Click the blue Add note button in the Communication Log section of the Patient Card to create a patient note. Notes left in the Comm Log will write back to your practice management software.

Chat

From the Chat section, message patients just as you would in the Patient Chat dashboard.

Type your message, tag the patient, or assign the conversation to a team member.

Stats

In order to view Appointment and Patient stats in the patient card, you'll need to have the Dental Intelligence full bundle. If you are an Engagement Module-only user, you'll only see Communication stats. If you are interested in learning more about the Analytics Module, CLICK HERE to request a demo!

From the Stats section, see an overview of the patient's most recent and upcoming communication, appointment, and patient stats.


Patient Card Quick Actions

Patient Status Icons

Hover over the status icons beside the patient's name for additional information about outstanding paperwork, appointment information, and more. Clicking on each icon will open the available action items, such as preparing and sending forms, to clear the status.

Communication & Forms/Consents Menu

Click on the 3-dot menu to open the Communication and Form dropdown menu for easy access to sending patient messages, financing offers, review requests, and more, as well as treatment plans forms.

Rewards

Click on the present icon in the patient card to open the Rewards menu and choose from the following options:

  • Loyalty information: Review the patient's current point balance, reward history, and app login email address

  • Add points: Reward up to 500 points to the patient

  • Claim reward: Enter in the patient's code to redeem points for prizes at your practice (Note: In order to redeem prizes, the patient must provide you with the redeemable code that they are given in the patient mobile app)

Note: Patients must utilize the mobile app in order to receive points and claim rewards. If patients are not mobile app users, the ability to add points/claim rewards will not be available in their patient card.

Payments

Collecting payment directly from the patient card is only available if you are enrolled in Dental Intelligence Payments. If you are interested in adding Dental Intelligence Payments with Xplor Pay to your subscription, CLICK HERE to request a demo!

Click on the Payments icon to send the patient a payment request or to collect payment directly via your physical or virtual terminal during in-office visits or over the phone.

Invite to Schedule

Sending scheduling invites from within the patient card is only available if you have Dental Intelligence Online Scheduling enabled. If you don't have Online Scheduling enabled in your Engagement Module, CLICK HERE to request a demo!

Click on the Calendar icon to make an appointment. Follow the pop-up window prompts to choose the practice location, service type, provider, and earliest time to schedule.

Patient Card Settings

In the Patient Card settings, you can adjust family settings, communication preferences, and sync the patient with your practice management software.

To access the patient card settings, click on the Gear Icon on the upper righthand corner of the patient card.

In the Family Settings, you will see all of the patient's family members as they are recorded in the family file in your practice management software.

Communication Preferences will allow you to opt the patient out of receiving texts (including appointment reminders), emails (including appointment reminders), and review requests.

In the Patient Chart tab, you can push a patient sync with your practice management software. This is commonly used when any patient demographic changes (name, phone, email) are made.

If changes to patient appointments are made in your practice management software, Dental Intelligence will automatically update those changes overnight. However, if a last minute change is made, you will need to click the sync patient.

Sync Patient

To update the patient card with any recently changed information, click on the Sync icon to sync the changes with your practice management software.
