Getting Started with Dental Intelligence

Learn which key features of Dental Intelligence you should have set up within your first 14 days for successful onboarding

Welcome to Dental Intelligence!

We're so excited that you're here and ready to take advantage of all of the many features available. Dental Intelligence was built with your practice in mind and we're here to help you succeed. In this article, we'll go over the key features of Dental Intelligence that we recommend you have set up within the first 14 days of your subscription activation.


What is Dental Intelligence?

Dental Intelligence offers a suite of modules to help you manage your practice with ease and efficiency:

Dental Intelligence is designed to be comprehensive yet simple to use. It equips dental practices with the tools they need to better understand their performance and make informed decisions about their practice management. Get started with Dental Intelligence by doing the following:

Get to Know the Navigation

Before you get started, watch our short overview video to see how Dental Intelligence operates at a glance:

Top Bar Navigation

You’ll always know where you are within Dental Intelligence based on the name of the page listed in the top left corner of your screen.

Helpful Hint: Launch a Walkthrough by clicking on any available Learn More button.

From the top bar navigation in Dental Intelligence, you can access the following:

  • Change the office location (if multiple offices are available)

  • My Profile

  • Notification Bell

  • Settings

  • App Switcher

Left Side Menu

The left side menu of Dental Intelligence houses all of the available features that you have access to based on your subscription and profile permissions.

Click the white bubble arrow near the top of your menu to expand or collapse the left side menu completely. Click to expand each dropdown menu and then click on a feature to open it.

Support Resources

Use the blue Question Mark bubble at the bottom of your left side menu to access a network of resources. When you click the bubble, you’ll be able to:

  • Launch a guided in-app Walkthrough

  • Search for articles in our Knowledge Base

  • View product updates and announcements

  • Watch a webinar from our library

  • Contact technical support


Importing Data & Data Verification

Dental Intelligence regularly syncs with your practice management software to keep patient and practice data current. During onboarding, your DI Specialist will work with you to verify that the data being imported to Dental Intelligence from your PMS is accurate and remains up to date. Keeping your DI dashboard in sync with your PMS ensures that you never miss a beat, so that you can spend more time with patients and less time doing paperwork.


Adding Users

After validating your data, it’s time to start adding users. Start adding team members to Dental Intelligence by navigating to Settings > Users. Click the blue Create New User button to begin entering team member information.

Once the user is created, the user will receive an email with instructions about how to login and access Dental Intelligence for the first time. Learn more about adding users here.


Setting Up Engagement Module Features

Digital Forms

Filling out and entering patient information is time consuming. In an increasingly paperless world, we are happy to provide online patient forms to make life easier for both patients and dental practices.

The Engagement module provides you with a library of digital forms that were created and developed by our team members with experience in the dental field. These forms automatically update into your Practice Management Software, so you don't have to print, sign, scan and shred, all day every day.

Before sending forms to patients, we recommend you look through the forms library to identify if there are any changes that need to be made. To begin using forms, navigate to Settings > Forms.

Kiosk Setup

Now that you've started using paperless forms, allow patients to easily submit forms that write back directly into your practice management software and go straight into the patient file with DI Kiosks. Create a smooth, effortless experience from beginning to end for every patient by using kiosks!

Using DI Kiosks in your practice will:

  • Reduce your check-in and check-out wait times

  • Help patients fill out paperwork quickly and import automatically

  • Remind patients which paperwork is due (no shuffling paper!)

  • Present treatment plans effectively so your patient can understand

Activate Online Scheduling

Online Scheduling with Dental Intelligence lets your patients schedule fully booked appointments directly into your practice management system anytime, and from anywhere.

To begin using Online Scheduling within the Engagement module, navigate to the left side menu and expand the Schedule dropdown:

  • LiveOps®: Virtual operatory view showing who you are expecting, who has arrived, who's already been seated, and which patient is ready to check out

  • Scheduling Center: Schedule appointments on behalf of patients

  • Schedule Analysis (available for Analytics module users): Find gaps in your schedule and prepare for upcoming appointments

  • Action Items: Lists of patients requiring appointments, including those on the ASAP list, are past due for hygiene visits, have outstanding treatment, and those with missed appointments

  • Performance: Comprehensive overview of your practice's scheduling operations and efforts

  • Configuration: Set up online scheduling settings, service types, widgets, and more

Customize Verbiage

Verbiage acts as a library of all enabled TouchPoints™ messages that are sent to patients. To customize TouchPoints™ message content, navigate to Settings > Verbiage.

Click into each message type to view the content that is included. These will be separated as Text messages, Emails, and App Messages. We recommend keeping these similar to maintain consistency when communicating with patients.

To edit Verbiage content, simply select the pencil icon next to the message type. Once you have customized the verbiage as needed, select the Save button. Learn more about customizing verbiage.

Enable TouchPoints Automation

A full schedule is a successful schedule. Dental Intelligence keeps your patients coming back and helps your dental practice increase production with a variety of automated recalls, reminders, and even reactivation messages enabled in the TouchPoints dashboard.

Dental Intelligence makes it easy to set up all automated messages in your centralized TouchPoints™ dashboard, just navigate to Follow Ups > TouchPoints™.

Enabling automated recalls and reminders can be accomplished in just a few clicks. Just click Add TouchPoint to get started, then choose the automated message type to set up your customizations.

Collect Patient Reviews with Swell

Swell is software that gathers patient reviews and feedback, gives you concrete steps you can use to improve, and helps you build a reputation that has new patients fighting to get an appointment. Swell is fully integrated with Engagement, which makes managing reviews easier than ever.

Setting Up Analytics Module Features

Set Clinical Hours

In order for Dental Intelligence to be able to calculate the Production per Hour metric, we need to know how many hours each provider is available to be chair side with patients, ie, Clinical Hours.

As a best practice, assign a team member to update Clinical Hours every day. On the first day of the week and the first day of the month, review and ensure the providers scheduled hours are correct for the coming week or month.

Note: Only team members with the Limited/Full permissions to Settings can add or adjust Clinical Hours.

Access Clinical Hours by navigating to Settings > Practice Info > Clinical Hours. Learn how to set up Clinical Hours here.

Set Provider Goals

Setting goals is invaluable when tracking performance and celebrating growth. You can reference 2 basic categories to help identify what your goals should be:

  1. Historical Performance

This data will allow you to identify realistic goals rather than idealistic goals. Data driven goals are more likely to be met and will help to motivate you and your team! Learn more about how to set goals here.

Customize Your Morning Huddle

Dental Intelligence's Morning Huddle is one of our most popular features for good reason – it changes the way dental practices plan their days, fill holes in the production schedule, and celebrate successes. With an automatically generated agenda (which you have full control over), your team can see what is really happening, what is scheduled to happen and what could happen in order to have a successful day.

Navigate to the Morning Huddle in the left side menu of Dental Intelligence.

To get the best information out of the Morning Huddle, it’s important to make sure that your practice information is entered and up to date. Before you host your first huddle, please do the following:

  1. Ensure that each of your providers are set up correctly, along with their clinical hours and goals. Learn how to set goals.

  2. Update permissions to adjust accessibility to the Morning Huddle across your team. Learn how to limit the ability to view production numbers.

  3. Format the schedule view in Dental Intelligence to reflect the same order as it is set in your Practice Management Software. Learn how to adjust the schedule order.

By customizing the Morning Huddle, the first 15 minutes of your day is spent productively. You have all the metrics you need, automatically organized into an easy-to-read, customizable presentation. That means no more running reports manually, and no more mornings spent elbow-deep in your practice management system. Your agenda is set, and you're ready to set your practice up for success.

Enable Team Tasks

Team Tasks work alongside TouchPoints™ in the Engagement module to create tasks for staff members at your practice, ensuring essential patient follow-ups are never missed. Streamline office workflows by prioritizing tasks based on urgency and patient needs. With Team Tasks, your team can stay organized and provide consistent, high-quality patient care. Choose from the following task types:

  • Appointment confirmation

  • Hygiene recall

  • Broken appointment

  • Outstanding treatment

  • Past due account

  • Other

  • Post-op

  • Conversation

  • Form signature

Team Tasks assigned to each team member are shown in their Personal Assistant dashboard, making it easy for your team to stay on top of their assignments.

Team members can use the 3-dot menu next to each task to reassign, log attempts, reschedule, or delete the task.


Dental Intelligence Payments

Make collecting payment easier for everyone involved, especially patients, and your practice will end up collecting more payments. With Dental Intelligence Payments, we help you find patients with outstanding balances, and then send friendly, customizable text and email reminders with a link for them to securely pay their balance, wherever they are.

Utilizing Payments can help build your practice's success by:

  • Keeping dental statements and payments secure

  • Sending individual or bulk text messages and emails to anyone with past-due balances

  • Accepting flexible payment options including HSA, debit, and major credit cards


DI Insurance Powered by Vyne

Eligibility Verification & Claims Processing
