Engagement: How to Send Pre-Med Reminders

Learn how to set up a message template and create a list of pre-med patients that you can contact in bulk

Engagement makes it easy to send pre-med reminders to patients in just a few clicks. Set up your pre-med message template, tag pre-med patients, and then use bulk action to contact everyone on your list!

Step 1: Create a Pre-Med Message Template

Save time by creating a message template that you can send to pre-med patients any time you need it. To start:

  1. Click on Settings in the upper right corner

  2. Click on the Templates tab

  3. Click on the blue Create new button

  4. Choose a category for your template

  5. Name your template something that will help you remember what the template will be used for (ie, Pre-med instructions). Note: This name is for internal use only and will not be shown to patients

  6. Type the contents of your message. Add placeholders by clicking on the Insert placeholders button and choose which placeholders you'd like to use

  7. When finished, click Create

Step 2: Tag Pre-Med Patients

Once your template has been created, use tags to flag patients as pre-med:

  1. Click on the Patients dashboard

  2. Click the tag [ + ] icon to the left of a patient's name that you would like to tag as pre-med

  3. Click on the pencil icon next to a tag label

  4. Update the tag name to Pre-med. Be sure to select the checkmark to save the label name

  5. Click on the tag square to select the tag

  6. You'll notice that once a patient has been tagged, a color-coded tag will be added to their profile

  7. Tag additional patients as pre-med by clicking on the tag [ + ] icon to the left of each patient's name and clicking on the tag square to select the Pre-med tag

  8. To view a list of all pre-med tagged patients, click on the Filter drop down menu. Hover over the Tag filter, then select the checkbox next to the Pre-med tag

Note: All new tags created will appear the same across all user dashboards. Any changes made to the tag will also be identical across all user dashboards.

Step 3: Send or Schedule Bulk Pre-Med Messages

Now that your template has been created and patients have been tagged, use bulk action to message everyone at once!

  1. From the Patients dashboard, click on the Filter drop down menu, then select the checkbox next to the Pre-med tag

  2. Next, click on the Future Visit column and hover over Date. Then choose to filter patients with a visit in the near future (ie, today, tomorrow, this week). Since pre-med patients need to take their meds right before their appointment, this filter makes it easier to focus on patients coming in soon

  3. Click on the checkbox next to Bulk Actions to select all pre-med patients

  4. Click on the Bulk Actions dropdown arrow and choose Send a direct message

  5. Click on the Load a quick message button

  6. Locate your pre-med template in the dropdown menu. Click on your template to select it

  7. Your template will show in the message window. Make any changes if needed

  8. Next, choose the delivery channel (email or text)

  9. Then, choose a time to send (send now or schedule ahead)

  10. Select the checkbox next to our Bulk Direct Message disclaimer

  11. Click the Send button to finish and send out your pre-med reminder
