Understanding Provider Visibility in Provider Pulse
The Provider Pulse is a data-driven view, not a user-access view. This means providers can appear on Provider Pulse even if they are marked inactive as users, as long as there is relevant data associated with them.
Providers will appear on Provider Pulse any time we have meaningful data for them, including:
Historical or active provider goals
Clinical Hours (past or present)
Production, including scheduled production, completed production, write-offs, or adjustments
In short: If data exists, the provider may appear — regardless of user status.
Why Inactive Providers Can Still Appear
Marking a provider inactive prevents them from accessing the platform — but it does not remove their historical or financial data. This is intentional.
There are two primary reasons an inactive provider may still show on Provider Pulse:
1. Historical Goals or Clinical Hours Exist
You may still want to see:
Past provider goals
Historical Production Per Hour (PPH)
Performance trends from when the provider was active
Removing this data would break historical reporting, so it is preserved by design.
2. Production Exists (or Is Still Being Created)
If a provider has:
Completed production
Write-offs or adjustments
Scheduled production in the practice management system
They will appear on Provider Pulse for any date range where that production exists — even if they are inactive in Dental Intelligence.
Important Clarification: This Is About Data, Not Access
A provider showing in Provider Pulse does not mean:
They can log into the platform
They are considered an active employee
It simply means: “We have data for this provider in the selected time frame.”
What to Do If a Provider Should No Longer Appear Moving Forward
If a provider has left your practice and you no longer want them appearing on Provider Pulse going forward, follow these steps carefully.
Step 1: Stop Future Clinical Hours (Do Not Delete Past Hours)
You should turn Clinical Hours off moving forward, not remove or erase historical hours. This preserves the past while preventing future visibility.
How to Update Clinical Hours
Go to Settings (gear icon in the top-right)
Select Clinical Hours
Find the provider
Click the scheduled hours on their departure date
Set hours to 0 or click Off
Apply the change going forward (e.g., Every Weekday)
Save
This prevents future Provider Pulse visibility tied to hours or goals. This is the balance — the yin and yang — of wanting the history without carrying it forward.
Step 2: Confirm They Are Not Still Producing or Being Scheduled
If the provider still appears after Clinical Hours are turned off, it means production data still exists. To resolve this, ensure:
The provider is no longer being scheduled in your practice management software
No future production (including scheduled production) is assigned to them
Even scheduled production for an inactive provider will cause them to appear.
How to Confirm Why a Provider Is Showing
To identify why a provider is appearing:
Look at the Production column on Provider Pulse
Change the date range to a future period
If the provider disappears, they only had historical data. If they remain, production or goals still exist moving forward This behavior is expected and correct.
Why This Design Matters
This approach ensures:
Accurate historical reporting
Correct Production Per Hour calculations
Visibility into past provider performance
Clean, forward-looking dashboards once data is properly turned off
Provider Pulse reflects what happened and what is scheduled to happen — not who currently has login access.
Inactive users can still appear if data exists
Production and goals drive visibility
Turn off Clinical Hours going forward, not historically
Confirm no future scheduling or production exists
Once those conditions are met, the provider will naturally fall off Provider Pulse for future date ranges.
