NEW! Email Campaign Sequences
Timely follow-up is one of the most powerful tools a practice has for keeping patients engaged — and now it's easier than ever. With the new Email Campaign Sequencing feature, you can build a series of up to five automated follow-up emails tied to a single campaign, all without lifting a finger after setup. Simply define the number of days between each send, select your template, and customize the subject line — the rest runs on autopilot.
Here's what makes sequencing work for your practice:
Multi-send campaigns made simple — Layer follow-up messages after any initial send, whether you're promoting a seasonal special, following up on unscheduled treatment, or running a recare campaign.
Smart patient scoping — Subsequent emails in the sequence are sent only to patients who were in scope at the start. If a patient books or falls out of scope, they won't receive follow-ups — so your messaging always stays relevant.
Fully customizable timing — Choose how many days after the previous email that the next email in the sequence sends, giving you full control over the pace and tone of your outreach.
Up to five sequential sends per campaign — Build a complete patient journey from first notice to final reminder, all within a single campaign workflow.
Whether you're running an Independence Day promotion or nudging patients to schedule overdue appointments, sequencing ensures no opportunity slips through the cracks.
Important notice about special characters and SMS segment usage
We want to make sure you're aware of how certain characters in your message templates can affect your SMS costs.
When a message contains special characters (such as emojis), it switches to Unicode encoding, which reduces the characters per SMS segment from 160 to 70. This means messages that would normally send as 2 segments may send as 5, increasing your SMS usage.
Standard encoding 160 chars per segment — standard characters only | Unicode encoding 70 chars per segment — triggered by any special character |
Which characters trigger this?
Emojis — any emoji that renders as an image (e.g. 🎉, 😊) will trigger Unicode encoding
Certain special characters — including some accented or non-standard characters (e.g. Ÿ, control characters)
Text-based emoticons like :) are not affected
Does this affect all messages?
Both automated and manually sent SMS messages are affected. Automated messages have a higher impact given their volume.
What we've done
We've added a built-in SMS Encoding Warning directly in the message template editor. If your message contains problematic characters, you'll see an alert identifying exactly which characters are causing the issue before you save.
What you can do
Review your existing message templates for emojis or special characters.
When editing message verbiage, watch for the SMS Encoding Warning — it will identify any problematic characters for you.
Replace any special characters with standard alternatives to keep your segment count — and cost — lower.
Update to post-op consent logic
We've made an improvement to how Post-op Consent links are sent to patients — and it's one of those quiet updates that makes a big difference.
What's changed: When a patient's appointment includes multiple procedure codes that are all tied to the same consent document, your patients will now receive just one consent link — not one for every procedure code. Previously, a patient could receive several identical links for the same document, which was confusing and cluttered their inbox.
What this means for your practice:
Cleaner patient communication — Patients receive one clear, actionable link rather than duplicate consents
No resubmissions — Once a patient completes and submits a consent form, the link automatically expires, preventing accidental re-entry
Less confusion — A streamlined consent experience reflects the professionalism your patients expect
