AI Tools at Dental Intelligence

AI Receptionist enhancements

Give your AI Receptionist a personal touch

You can now customize your AI Receptionist's name directly from Settings > AI Receptionist — so she feels like a true extension of your front desk team. Whatever you choose, patients will hear that name every time they call.

Set up AI Receptionist to detect when it's an emergency

Your AI Receptionist can now recognize when a patient is calling about a dental emergency — like a knocked-out tooth, severe swelling, or an abscess — and instantly notify your team. Customize the keywords she listens for, and set different alert methods for during and after business hours (inbox notification, email, text, or call forwarding), so urgent calls never sit unanswered. Learn how to set it up.

Understand how calls are being handled with the AI Receptionist Dashboard

The AI Receptionist dashboard gives you a snapshot of how the Dental Intelligence AI Receptionist is performing over a weekly time period.

Navigate to Dashboards > AI Receptionist in the left hand menu to get started. Use the date range selector at the top (with the arrows on either side) to move week-to-week and compare performance over time.

  • Check the summary cards first for a quick pulse on volume and usage trends.

  • Use Peak Call Hours to identify when your practice gets the most (or least) call traffic — useful for staffing decisions or evaluating after-hours coverage.

  • Review Appointments Scheduled to see how effectively calls are converting into booked visits, and whether the AI Receptionist is helping bring in new patients versus supporting existing ones.

  • Compare week-over-week using the date navigation to spot trends, seasonal patterns, or the impact of any changes you've made (e.g., marketing campaigns, new hours, staff changes).

Analyze attachments and apply scope filters in Explorer

Your practice runs on more than just what's inside your Dental Intelligence portal. There's the spreadsheet your office manager built to track hygiene recall. The PDF from your latest marketing campaign report. The export from your accounting software that never quite lined up with your production numbers. Until now, Explorer couldn't see any of it. That changes this month.

You can now upload files from your computer — spreadsheets, PDFs, reports — and Explorer will analyze them right alongside your Dental Intelligence data, giving you richer, more complete answers.

You can also set scope filters so Explorer focuses its analysis on exactly what you care about, whether that's last quarter, a particular location or provider, or a specific insurance carrier.

Together, these updates mean faster, sharper, more relevant insights — tailored to your data and your timeline. Try it out next time you open Explorer!

Understanding Patient Scoring

We've made it easier to understand which Patient Score is being used throughout your dashboards.

The Attendance Score shows on appointment blocks in the LiveOps® day schedule. This is an appointment-level score — it estimates the likelihood that a specific, already-scheduled appointment will actually be completed, based on the patient's recent scheduling and appointment activity in Dental Intelligence.

The Acceptance Score shows on all Action Items lists. This score estimates the likelihood that a patient being considered for a new appointment will actually say yes to it, based on the patient's recent scheduling activity in Dental Intelligence.

Updates to the unified Dental Intelligence Portal

NEW! Team Tasks Results

The Team Tasks Results dashboard tracks how your team is performing on patient outreach tasks over a selected time period. Instead of just knowing that calls were made, you can see exactly how many turned into scheduled dollars and collected payments, and which team members are driving those results. That visibility makes it much easier to coach staff, hold outreach efforts accountable, and prove ROI on tasks that used to be hard to measure.

Just navigate to Follow Ups > Team Tasks > Results. Use the date range selector to adjust the period, and the Type and Activity by filters to narrow results to specific task types or specific team members.

  • Start with the summary cards to get a pulse on overall team activity and financial impact for the period.

  • Use the table to compare individual performance — who has strong contact rates, who's converting attempts into scheduled dollars, and who might need support or retraining.

  • Check the Total by Automation row to understand how much of your task volume is being handled by enabled TouchPoints campaigns.

  • Use the filters (Type, Activity by) to drill into a specific task category (e.g., only recall tasks) or a specific person's performance.

  • Compare across date ranges to track whether team outreach and collections efforts are improving over time.

Updates to the Engagement Module

Payments: Collect insurance payments using the virtual terminal

A new insurance payment option is now available within the virtual terminal payment workflow. When 'This is an insurance payment' is selected, the payment behaves differently from a standard card transaction:

  • The payment is not automatically posted to the ledger and is not written back to your PMS

  • The patient is not emailed when an insurance payment is made

  • Refunds are not available on insurance payment transactions

Payments: CareCredit enhancements

  • CareCredit status now visible in LiveOps®: Patient profile bubbles display a credit card icon showing CareCredit status at a glance — just hover over the icon to see the details.

  • CareCredit filter in Patient Finder: Practices with CareCredit enabled can now filter patients by cardholder status (Existing Cardholder, Prequalified, Needs More Info, Pending) directly from the Patient Finder dashboard.

  • Clearer CareCredit error details on the patient card: When a prequalification fails, hovering over the error icon now shows exactly what's missing — e.g., the patient's first name, last name, street address, city, state, or ZIP code — so you know what to fix.

Updates to the Analytics Module

Production and New Patient Reports have been sunset

Effective September 2026, the Production and New Patients Reports have been removed from the Analytics-only portal. All of the data you've relied on in those reports is available — and more actionable than ever — in Scorecards.

If you previously used these reports to track practice performance, don't worry — no data is going away. Scorecards surfaces the same key metrics in a more flexible, real-time format. Scorecards were built to give you a faster, clearer view of how your practice is performing — without needing to run a separate report.

Unlike the Analytics-only Production and New Patient Reports, Scorecards:

  • Update in real time, so you're always looking at current data

  • Let you compare performance across custom date ranges

  • Allow you to set goals and track progress toward them

  • Are accessible directly from your unified Dental Intelligence dashboard
