Ordering a Payment Terminal for Your Office

How to order a ViVOpay 8300 physical payment terminal — pricing, eligibility, additional terminals, multi-location orders, and hardware replacement requests.

Dental Intelligence Payments must be included in your Dental Intelligence subscription in order to utilize a terminal/credit card reader.

Dental Intelligence Payments supports in-office payment collection using the ViVOpay 8300 physical card reader. This article covers how to order a terminal for the first time, add terminals to your existing setup, order for multiple locations, and request a replacement if your hardware fails.

Terminal pricing

Each ViVOpay 8300 terminal is $264 per device. The charge is billed through your Xplor Pay merchant account and appears on your first statement after the order is fulfilled. There are no monthly rental fees — the terminal is a one-time purchase.

Physical terminal vs. virtual terminal — which do I have?

Dental Intelligence Payments offers two terminal options:

Ordering your first terminal

The easiest time to order a terminal is when filling out your initial Xplor Pay application — there is a field on the application form to indicate that you want a physical terminal. If you did not select this option during signup, you can still order one afterwards by contacting the Payments team.

If you did not indicate that you needed physical terminals on your Xplor Pay application and now need to order a terminal, please contact Dental Intelligence support for assistance. A member of our Payments team will confirm your shipping address and process the order.

Adding an additional terminal to an existing setup

Each workstation that collects in-person payments requires its own dedicated terminal — a terminal cannot be shared between computers. To add a terminal:

  1. Contact Dental Intelligence support and let us know how many additional terminals you need.

  2. Confirm the shipping address for the new terminal(s).

  3. Once shipped, follow the physical terminal setup guide to plug in and connect each new device.

Each additional terminal is billed at $264 and will appear on your next Xplor Pay statement.

Ordering terminals for multiple office locations

If your practice has multiple locations, each location needs its own merchant account setup with Xplor Pay. Terminals are linked at the merchant account level, so you cannot use a terminal from one location at another.

To order terminals for multiple locations, contact Dental Intelligence support and include:

  • The name and address of each location

  • The number of terminals needed per location

  • Confirmation that each location is fully enrolled with Xplor Pay

Requesting a replacement terminal

If your terminal stops functioning and basic troubleshooting has not resolved the issue, you may be eligible for a replacement device. Before requesting a replacement:

  1. Check that the USB cable is plugged directly into the computer (not a monitor or USB hub).

  2. Confirm the green indicator light on the terminal is slow-blinking (ready state).

  3. Try a different USB port on the same workstation.

  4. Review the terminal troubleshooting guide for additional steps.

If the terminal is still non-functional after these steps, contact Dental Intelligence support with a description of the issue and any troubleshooting steps already attempted. Our team will assess whether a replacement is needed and coordinate with Xplor Pay.

⚠️ Important: Do not discard a non-functioning terminal before contacting the Payments team — we may need to assess it for a warranty or replacement claim.


Frequently asked questions

How long does it take to receive a terminal after ordering?

Shipping timelines vary. Contact Dental Intelligence support for an estimated delivery timeframe at the time of your order.

Can I use one terminal at multiple workstations?

No. Each terminal must be dedicated to and physically connected to a single workstation. A terminal connected to one computer cannot process payments from a different computer.

I was on Clearent — do I need a new terminal?

As of May 2025, Xplor Pay (formerly Clearent) replaced all existing terminals with updated hardware. If you utilized Dental Intelligence Payments prior to May 2025 have not yet received a replacement terminal, contact Dental Intelligence support immediately — continued use of old terminals results in a $150 monthly charge from Xplor Pay.

Once my terminal arrives, how do I set it up?

Can I order a longer power cord for my terminal?

Yes. We offer 6' terminal power cords for an additional $12. Be sure to ask for a longer power cord when ordering your terminal(s) if needed.
