Set Up Your Physical Terminal for Payments

Learn how to connect your physical payment terminal with your Dental Intelligence software

Beginning May 2025, Xplor Pay (previously known as Clearent) is replacing all current payment terminals with a new, updated version. You are receiving an updated payment terminal(s) to replace your old terminal(s).

Once you have set up the new terminals, discard and do not continue to use the old terminals. Continued use of old terminals will result in a $150 monthly charge from Xplor Pay.

Are you ready to set up your physical payment terminal? Your ViVOpay 8300 is so simple to install! Simply plug the included USB cable into your workstation and you are ready to start processing payments with Dental Intelligence Payments.

In order to utilize a physical terminal to collect payments in Dental Intelligence, your office must meet the following criteria:

  • You must be fully set up with Xplor Pay as your payment processor. For more information on how to apply, click here.

  • You must indicate that you would like to order a physical terminal when submitting your Xplor Pay application.

How to plug in the terminal to your workstation

Important note about plugging in the terminal

The terminal USB cord must be plugged directly into the computer (NOT THE MONITOR) that you will be collecting payment at. The terminal will not function if it is plugged into a wall or monitor. Attempting to collect payment from a different computer that is not plugged into the terminal will fail.

To plug in your terminal to your computer and begin accepting payments, follow the steps below:

  1. Open your ViVOpay equipment box and locate the terminal and USB cable

  2. Turn the terminal upside down and locate the mini-USB port located on the underside of the terminal

  3. Place the mini-USB cable into the port located on the underside of the terminal. Use the cord router to place the cable securely into the base of the terminal so that the terminal sits flat on the desktop surface

  4. Place the other end of the USB cable into the port of your workstation (Note: the terminal USB cord must be plugged directly into the computer—not the monitor—that you will be collecting payment at).

  5. When the USB cable has been plugged in to the workstation, ensure that the first light on the left of the terminal is slow blinking green, indicating that your terminal is ready to use

Important note about processing the first transaction after plugging in your terminal

Now that your physical terminal is plugged in to your workstation, you're ready to begin collecting payments in the office. During your first transaction after plugging in your terminal, you'll need to connect the reader in Dental Intelligence.

  1. From the Payments dashboard, click Collect payment > Physical terminal

  2. Choose the patient and enter in the payment dollar amount

  3. In the Credit card information section of the payment window, click Connect Reader

  4. A pop-up will appear in your browser indicating that a device is attempting to connect. Click Connect

  5. After connecting, the patient can tap or insert their card at the terminal and the card information will show as filled in Engagement. Click Submit to complete the transaction

Now that your terminal is connected to Dental Intelligence as an HID device, you can collect physical payments from patients as usual while they are in-office. Going forward, collecting payment is as easy as tapping and holding the patient's debit or credit card to the terminal surface (*if the card type allows, otherwise insert the card into the reader).
