PMS-Specific Treatment Plan Workflows

Each PMS has unique workflows for syncing, editing, and sending treatment plans through Dental Intelligence

Follow these steps to prepare and send treatment plans from Dental Intelligence based on your practice management software (PMS).

Dentrix Treatment Plans

If your practice uses Dentrix, you can create and send treatment plans in Dental Intelligence using either manual entry or a screenshot of the treatment plan from Dentrix.

Option 1: Manually Prepare a Treatment Plan in Dental Intelligence

  1. Click on the Patients dropdown in the lefthand menu, then click Patient Finder

  2. Click the three-dot menu next to the patient's name

  3. Hover over Forms, then select Prepare a Treatment Plan

  4. Choose the delivery method:

    1. Selecting Kiosk will allow you to choose which kiosk device

    2. Selecting Patient will allow you to choose Auto, Text or Email

  5. Select the patient treatment plan from the dropdown list

  6. Customize the plan text as needed. Use the Format toolbar to adjust layout, and the Image icon to insert visuals

  7. Manually calculate and enter the insurance contribution and estimated patient portion. Click inside the Treatment Costs box to insert a new row and adjust totals

  8. Select payment options and adjust Total Treatment Plan Cost (the value of treatment cost must match patients out of pocket cost regardless of applying a payment option or not)

  9. Click Send to complete

Option 2: Use a Snipped Image from Dentrix

If you prefer to send the treatment plan exactly as it appears in Dentrix:

  1. In Dentrix Treatment Planner, open the patient’s treatment plan and click Print Preview

  2. Use the Snipping Tool (or similar app) to capture the preview as an image

  3. On your snippet, right-click and choose Copy Image or use the Ctrl+C shortcut on your keyboard to copy the image

  4. In Dental Intelligence, select the three-dot menu next to the patient's name, hover over Forms, and click Prepare a Treatment Plan

  5. Next, click into the treatment plan window and use the Ctrl+V shortcut on your keyboard to paste the image directly into the treatment plan. Remember, you will be pasting the snipped image of your patients Dentrix treatment plan rather than selecting their plan from the dropdown menu on the left hand side

  6. Select applicable payment options and adjust Total Treatment Plan Cost (the value of treatment cost must match patients out of pocket cost regardless of applying a payment option or not)

  7. Click Send to complete


Dentrix Ascend Treatment Plans

If your practices uses Dentrix Ascend as your practice management software, here's how to prepare treatment plans in Ascend so that they can be send to your patients from Dental Intelligence.

How to Assign Procedures to a Tx Planner Case in Ascend

  1. In Dentrix Ascend, open the patient chart by searching for the patient and clicking on their name

  2. From the patient overview, click on Treatment Plan

  3. From the Tx Planner tab, select the Unassigned case in the Active category

  4. Select the check boxes of the recommended treatment. Then, from the Move To button menu, click New Case

  5. Click the pencil icon to edit the name of the treatment plan. Enter the new case name, and then click Rename

A new case has now been created, and the selected procedures are moved to it.

If the treatment plan in Ascend has not been assigned to a case, it will not show up as an available plan for the patient in Dental Intelligence.

Send an Ascend Treatment Plan in Dental Intelligence

Treatment plans created in Dentrix Ascend sync automatically with Dental Intelligence. Once you've prepared your treatment plan in Ascend, it can then be sent to the patient from your Dental Intelligence dashboard.

Important notes about how Dental Intelligence pulls treatment plans from Dentrix Ascend

  • Treatment plan separation in Engagement is based on visits, not dates. Engagement will not show any codes in a visit besides what is included in Visit 1.

  • Insurance estimates shown on the treatment plan are not accurate.

If you notice any inconsistencies with how the the Ascend treatment plan is shown in Dental Intelligence, just change the case status in Ascend and then refresh Dental Intelligence to reload the plan. You can revert the status back again immediately after if necessary.

  1. Click on the Patients dropdown in the lefthand menu, then click Patient Finder

  2. Select the three-dot menu next to the patient's initials, then hover over Forms and click Prepare a treatment plan

  3. Next, make the following selections:

    1. Choose how the treatment plan should be sent (to a kiosk or directly to the patient)

    2. Select the treatment plan from the dropdown list (Note: If the treatment plan has not been assigned to a case in Ascend, it will not show up as an available plan for the patient in Engagement)

    3. If desired, filter the plan by stage (by default, all visits included in the treatment plan are shown)

  4. Select the checkboxes under Treatment plan columns to include or remove the Detailed Fees per Procedure Visibility and Hide Code Column to remove codes from the content

  5. Now you can fully customize the document that appears on the right side in the content window. Use the format menu to make desired changes

  6. Next, manually calculate the insurance contributions and adjust the estimated patient portion. Click on the Treatment costs box to insert a new row. Once the row has been inserted, you can manually calculate the insurance estimate and benefits information

  7. Select applicable payment options and adjust the Total Treatment Plan Cost (Value of treatment cost must match patients out of pocket cost regardless of applying a payment option or not)

    📌 Note: If you would like to require patient to choose payment option, select the 'Force patient to select a payment option' checkbox

  8. Choose to select any additional settings

  9. Select Send and Close to complete


Open Dental Treatment Plans

Dental Intelligence automatically pulls treatment plan details and notes from Open Dental. However, you’ll need to customize your default note within Open Dental if you want to adjust the language displayed to patients.

How to Customize Notes from Open Dental

  1. In Open Dental, go to Preferences > Treat Plan – General > Default Note

  2. Edit the text in the Default Note box

  3. Save your changes

Dental Intelligence will automatically use this updated note in treatment plans unless a specific note is already saved for that plan.

Note: If the Default Note in Open Dental is blank, no note will appear in the treatment plan sent from Dental Intelligence.
