In this article, you’ll learn how to:

Add and Manage Treatment Plan Payment Options

Flexible payment options make it easier for patients to commit to treatment. In Dental Intelligence, you can create installment options that match your practice’s policies and your patients’ budgets.

How to Add a Payment Option

  1. Click the Settings icon in the upper-right corner

  2. Select the Practice Setup tab, then choose Treatment Plans

  3. Click Add New Payment Option

  4. Choose one of the following payment types:

    1. Paid in Total – Patient pays the full balance upfront

    2. Installments – Patient pays over a set schedule

    3. Split Payment – Divide payments between multiple payers or methods

    4. External Financing – Include a link to your patient financing site for online applications

  5. Save your selections. All available options will appear in your Treatment Plans list. You can edit or delete payment options by clicking on the three-dot menu

Important: To send a treatment plan, your practice must have at least one payment option set up. If not, you may see the error “The Patient Cost must be an Integer.”

A tip for Dental Intelligence Payments users

If your practice uses Dental Intelligence Payments, sending a treatment plan with an installment option automatically creates a payment plan for the patient. Learn more about sending treatment plans with payment options.


Customize Treatment Plan Verbiage and Notes

Personalized wording helps patients understand their treatment plan and builds trust. You can adjust how plan details appear to better match your communication style or compliance needs.

How to Customize Treatment Plan Presentation Verbiage

  1. Click the Settings icon in the upper-right corner

  2. Click on the Verbiage tab

  3. In the Forms, Consents, and Treatment Plans section, expand the Treatment Plan Signing Request and Treatment Plan Presentation messages

  4. Click on the pencil icon next to each message type to edit the content, then save your changes

For Open Dental Users

If your practice uses Open Dental, notes left on treatment plans in Open Dental are pulled into Dental Intelligence and are included in the treatment plan presentation.

The default notes come directly from your PMS and can only be edited there. To edit these notes:

  1. In Open Dental, go to Preferences > Treat Plan – General > Default Note

  2. Edit your text in the Default Note field

  3. Save changes in Open Dental. These updates will appear in Dental Intelligence treatment plans automatically

Note: The Default Note from Open Dental will only be pulled for the placeholder in Dental Intelligence if the Treatment Plan does not already have a note added at the bottom.

If the Default Note section in Open Dental does not have any content, it will not be included in the message delivered to the patient.


Add Educational Images to Treatment Plans

For visual learners (which account for 65% of the population), infographics help provide a clear understanding of proposed treatment to set their mind at ease about scheduling a procedure. Dental Intelligence makes it easy to embed infographics and other images (like intra-oral photos) directly in your digital treatment plans to assist with patient education during treatment presentation.

We recommend saving these infographics in a folder on your desktop, so you can quickly and easily add them to your digital treatment plans using the "Insert Image" button.

How to Download Individual Images

To download any of the treatment plan images listed below, click on the name of the treatment plan. A new browser window will open showing the treatment plan image. Simply right click anywhere on the image and choose Save Image As... from the pop-up menu. Choose the folder location (if necessary) then click Save.

How to Add Images to Treatment Plans

  1. While editing a treatment plan, click the image icon

  2. Select an image file from your computer, or paste directly into the content area

  3. Resize or reposition as needed to fit your layout


Best Practices for Treatment Plan Setup

  • Offer multiple payment options to increase treatment acceptance.

  • Keep wording clear and friendly — avoid clinical jargon when possible.

  • Use visuals to reinforce patient education and confidence.
