Creating, Sending, and Managing Treatment Plans

Learn the steps to send a treatment plan to a patient, as well as what the patient receives and approves/declines

Send digital treatment plans directly to your patients through Dental Intelligence — helping them review, accept, or refuse care with ease.

In this article, you’ll learn how to:

  • Create and customize a treatment plan

  • Send plans via text, email, or kiosk

  • Understand the patient experience

Create a Treatment Plan in Dental Intelligence

Before sending a treatment plan, confirm that your practice has payment options set up. Learn how to set up payment options.

  1. Click on the Patients dropdown in the lefthand menu, then click Patient Finder

  2. Click on the three-dot menu next to a patient's name

  3. Hover over Forms, then select Prepare a Treatment Plan

  4. Choose how you would like to send the plan:

    1. Selecting Kiosk will allow you to choose which kiosk device

    2. Selecting Patient will allow you to choose Auto, Text or Email

  5. Choose the appropriate treatment plan from the treatment plan dropdown

Notes:

  • In Eaglesoft and Open Dental, treatment plans must be saved in your PMS before appearing in Dental Intelligence. This does not apply to Dentrix users.

  • Eaglesoft users: The treatment plan name cannot have slashes in the name (/). Treatment plans with "/" characters are not recognized by Eaglesoft and cannot be imported after they are signed by the patient.

Customize the Treatment Plan

Use the editing tools on the right side of the treatment plan window to tailor the plan for your patient:

  • Click directly in the text area to make edits.

  • Use the Format toolbar to adjust layout and style.

  • Click the Image icon to embed visuals or infographics. Download free treatment plan images.

You can also:

  • Include or hide detailed fees and procedure codes.

  • Select available payment options to show at checkout.

  • Require the patient to choose a payment option before signing.

Notes:

  • If you use Eaglesoft or Open Dental, the insurance benefits will automatically calculate into the Treatment Costs box.

  • If you use Dentrix, you will need to manually calculate the insurance contributions and adjust the estimated patient portion. Click here to learn how.

Add Consents and Refusal Options

To allow patients to refuse treatment, attach a Treatment Refusal Consent.

  1. While preparing the plan, scroll to Additional Settings

  2. Select Request Treatment Refusal Consent upon rejection

  3. Choose your preferred consent form from the dropdown (the general treatment refusal consent is located in Other > Treatment Refusal)

When attached, patients who reject the plan will be prompted to sign the refusal consent before submitting.

Note: Patients can only reject the treatment plan if you have attached a treatment plan refusal consent.


Send the Treatment Plan

Once finalized:

  1. Verify that the Total Treatment Cost is accurate and make any needed adjustments

  2. Confirm all desired payment options are selected

  3. Choose optional settings:

    • Send an emailed copy to the patient after signing

    • Display as a QR code for kiosk viewing

    • Require patient initials before viewing (if sending the treatment plan to a kiosk)

  4. Click Send and Close to complete

If you receive the error “The Patient Cost must be an Integer,” make sure at least one payment option exists in your settings. Learn how to set up payment options for treatment plans.


Patient Experience

When a treatment plan is sent, the patient receives a secure link via text or email, or by accesses the plan at an in-office kiosk.

  1. When the patient receives a treatment plan notification, they will click on on the link in the message and be redirected to the Patient Portal

  2. The patient will enter their initials and click Submit to verify their identity and begin reviewing the prepared treatment plan

  3. The patient will then review the treatment plan details


    If a refusal consent is attached, they can accept or reject the plan:

    • Accept: Patient reviews payment options and selects one.

    • Reject: Patient signs the refusal consent.

  4. If the patient accepts the treatment plan, they will be presented with payment installment options you previously selected when preparing the treatment plan. The patient will click Select to choose a payment plan and then click Continue

  5. Next, the patient will select their signing role (patient or guardian) and then add their signature using their finger (if using a touchscreen) or cursor

  6. Once the patient has signed the treatment plan, you will receive a notification in the Personal Assistant inbox that the treatment plan has been accepted and signed


Patient Experience: Accepting a Treatment Plan with Dental Intelligence Payments

If your location uses Dental Intelligence Payments, the patient will also be directed to add a payment method for the recurring payment installments while reviewing their treatment plan.

After the patient has signed the treatment plan (see step #5 above), the patient will then review the details of their payment plan and add the payment method that will be charged for the plan.

Next, the patient will select or add a new payment method to be charged for the treatment plan (this can be changed at any time by your office). Once the patient has reviewed the terms, they must select the checkbox to accept.

Patients can also choose to skip adding a payment method by scrolling to the bottom of the page and clicking 'Choose Later.'

Please note: If the patient chooses to add a payment method later, your office will manually need to create their payment plan in the Payments dashboard. Click here to learn more about how to create a payment plan.

Lastly, the patient will again select their signing role (patient or guardian) and add their signature using their finger (if using a touchscreen) or cursor and click Submit.

The treatment plan will now be submitted to your office. The patient will see a confirmation screen letting them know that their form has been completed.

If the patient has signed and accepted the treatment plan and selected a payment option, your next step will be to activate the corresponding payment plan to begin automatic recurring charges. Activating the payment plan will allow you to select the recurring charge date as well as when the first payment should be charged. Learn how to activate payment plans.

Treatment Plan Notifications

After a treatment plan is signed or declined, Dental Intelligence automatically notifies your team.

  • Notifications appear in your Personal Assistant and Communication Logs.

  • Filter by Forms to view details, preview, or download.

  • You can also view all rejected plans by filtering the Comm Log Status column to Rejected (Treatment Plan Only).

Important note for Dental Intelligence Payments users: Your next step will be to activate the corresponding payment plan to begin automatic recurring charges. Activating the payment plan will allow you to select the recurring charge date as well as when the first payment should be charged. Learn how to activate payment plans.


Treatment Plan Troubleshooting & Tips

  • Missing Treatment Plan: Check that it’s saved in your PMS (for Open Dental/Eaglesoft).

  • Incorrect Total Cost: Adjust directly in the cost field before sending.

  • Patient Didn’t Receive Plan: Verify the delivery channel (text/email/kiosk) and resend if needed.

  • Sync Issues: Refresh the patient card to reload plans from your PMS.
