Learn how to contact Clearent and complete the required questionnaire needed to become PCI compliant

PCI compliance is an important issue for dental practices that process patient payments, as it helps to ensure the secure handling and storage of sensitive payment information.

The Payment Card Industry Data Security Standard (PCI DSS) is a set of security standards that your office must agree to in order to process, store or transmit credit card information. This is in order to protect this sensitive data from fraud and breaches. Non-compliance can result in unwanted fines and reputation damage to the practice, which could lead to lost customers and revenue.

Complete the PCI Compliance Questionnaire

To become PCI compliant, please follow the steps outlined below:

  1. Login to your Clearent Merchant Home here

  2. Your PCI Status appears under Today’s Stats from the Home view. Click the arrow located in the bottom right of the PCI to take action

  3. Click Get Started

  4. In the product code field in the right side of the dashboard, click on the dropdown arrow and then begin typing 'Dental Intel'. Select Dental Intel, Dental Intelligence

  5. Next, click Confirm

  6. Once confirmed, your dashboard will reload and Yes/No selections will appear in the sections below. Part 2 Merchant Business Payment Channels selections are pre-populated and should not be changed

  7. In Part 3 Relationships, you must make the following selections:

    1. Question 1: Do you have relationships with third-party service providers that handle your account data, such as payment gateways or processors? Ensure Yes is selected.

    2. Question 2: Do you engage with third-party service providers managing system components within your PCI DSS assessment scope? Select No.

    3. Question 3: Do you work with third-party service providers that could impact the security of your Cardholder Data Environment? Select No, then click Save.

  8. Scroll down to Part 4 Processing Solution and ensure that P2PE is selected. Question 1 and 2 are pre-populated with No selected. Do not change these.

  9. Click the checkbox to agree to the end-user license agreement, then click Save & Continue

  10. In the eligibility pop-up that appears, click the checkbox to agree, then click Continue

  11. A new page will load. Click on Section 2 Restrict Physical Access to Cardholder Data

  12. Click checkbox to agree, then click Continue

  13. All 3 categories of the questionnaire will now show as green and marked as Pass. Click Continue

  14. The next screen allows you to review all selections on the questionnaire

  15. Under Part 2B Transaction Processing, locate Question 1 (Is your terminal enabled to accept EMV chip cards?) and click Edit

  16. In the pop-up that opens, click Yes. Then click Save

    Note: Regardless of whether or not your practice will be utilizing credit card terminals, you must select Yes here

  17. Next, locate Part 3B PCI DSS Validation. Enter the name of the practice executive officer, their title, and last 4 digits of their SSN or Tax ID (Note: this information does not need to match existing information in the Clearent Portal)

  18. Click Submit to finish

Get help with the Questionnaire

For assistance with the PCI Compliance Questionnaire, call the PCI Help Desk at (855) 864-1732 and select Option 1 “PCI Questionnaire.” Please note that the representative will ask for the following:

  • Merchant ID

  • DBA Name

  • Business Address

  • Federal Tax ID

  • Product Code (the product code is Dental Intelligence)
