The Xplor Pay Portal (previously known as Clearent) allows you to access statements, detailed reporting, batch information, funding status, disputes, tax documents, and more.

Accessing the Xplor Pay Portal
To access the Xplor Pay Portal:
Log in to Engagement
Navigate to Settings > Practice Setup > Payments
Click the link under Xplor Pay Merchant Home (https://my.xplorpay.net)
Log in with your username and password (Note: If you haven't set up an account, contact payments@dentalintel.com for assistance)
Overview of the Home Screen
After logging in, you'll see:
Sales Chart: Overview of current sales.
Key Metrics: Last deposit amount, yesterday's total sales, year-to-date volume, and PCI compliance status.
PCI Compliance Reminder: All merchants must complete the PCI compliance questionnaire. No scanning is required. Refer to this step-by-step article for guidance.
Viewing Batch Transactions
To view batch transactions:
Navigate to the Batches section
You’ll see closed batches for the current month, including their status
Click See Transactions to view details related to a batch
Batch processing occurs at midnight local time, with deposits reaching your bank within 2-4 business days
Export batches to Excel if needed
Note: Xplor Pay does not display patient names. Transactions show only the last four digits of the card, card type, amount, and status (e.g., settled or failed). For patient-specific reporting, use the Transactions tab in Engagement.
Understanding Funding (Deposits)
The Funding section tracks deposit statuses.
Filters are available by month
Click on a deposit to see included transactions
Export deposit data if needed
Xplor Pay Virtual Terminal
While the Xplor Pay Portal does offer its own Virtual Terminal, in order to avoid discrepancies and writeback errors, always use Engagement for processing payments.
Warning: Payments, refunds, and voids processed in the Xplor Pay Portal will NOT sync with Engagement or your Practice Management System. Use this only for emergencies.
If you must use the Xplor Pay Virtual Terminal in the event of an Engagement outage or otherwise:
Click Take a Payment
Enter card details (number, expiration, CVV, ZIP code, and amount)
Click Run Transaction
Handling Disputes and Chargebacks
If a dispute arises:
Xplor Pay will notify you via mail and email.
Login to the Xplor Pay Portal to locate and respond to disputes.
Chargebacks are tracked similarly, showing their status throughout the process.
Accessing Statements and Tax Forms
Xplor Pay Statements
Generated on the 7th of each month.
Include transaction totals by card type (Visa, Mastercard, etc.), deposit history, and processing fees.
PCI non-compliance fees appear if the PCI questionnaire is incomplete.
Adjustments and disputes are also detailed.
Download statements from the Statements tab.
Tax Documents
Includes 1099-K forms and activity summaries.
Available end of January to early February for the previous year.
Updating Banking Information
Admins can update banking details by submitting:
A bank letter or voided check.
The update option is available in the Banking Information section.
