Learn how to post collected payments in Engagement to the ledger in your practice management software

Once a patient has completed a payment, it's important that the transaction is recorded correctly to ensure that patient balances are accurate and up to date. Engagement Payments makes it easy to collect payments and associate them to the ledger in your practice management software.

Two important things to note:

  1. The Balance Due for a patient is a reflection of the family balance from the Guarantor level.

  2. Ledger writeback will post payments to the Guarantor account, not to each individual patient.

Access to the Payments tab in Engagement is restricted to users with admin privileges. To learn more about user permissions, click here.

What is a posted transaction?

Posted transactions are payments that have been associated to a patient and written back to the practice management software ledger.

What is considered a transaction that has not been posted to the ledger?

Transactions that have not been posted are payments that have been made by a patient but are not yet written back in your practice management software ledger.

Post Payment Transactions to the Ledger

Transactions will automatically be posted to the ledger if you have automatic writebacks settings enabled. Click here to learn more.

Funds are deposited once per business day (Monday - Friday). Deposits are batched at midnight every night.

To manually post a transaction, follow the steps below:

  1. Access the Payments tab in the left side menu of Engagement

  2. Select the Transactions tab. If necessary, adjust your time range by clicking on the calendar button

  3. When you access the ledger, you will come across two types of transactions: not posted and posted. Posted transactions indicate that the transaction has been updated in your practice management software, while Not posted means it has not

  4. Once you have recorded the payment in your practice management software, select the Actions button and then click Post to Ledger

Important note for Eaglesoft users: If you would like to modify the description of the payment or refund on the ledger, please contact support.
