Patient Finder Filters and Common Searches

Learn what filters are available in Patient Finder in the Engagement Module and how to use them to take bulk action and save time

Dental Intelligence offers two Patient Finder tools: one Patient Finder in the Engagement Module and another Patient Finder in the Analytics Module. The functionality between these tools is different.

Filters & Functions

There are a variety of filtering options that you can use in the Patient Finder to curate a list of specific patients. Here's an outline of all current filters and their functions:

  • Apply the Gender filter to sort patients by all genders, female only, or male only

  • Apply the Insurance filter to sort patients by all insurance or no dental insurance (Note: You cannot filter patients by individual insurance carrier)

  • Apply the Tag filter to sort patients by tags that you have created (ASAP, pre-med, etc)

  • Apply the App User filter to sort patient app users by all, yes, yes and notifications turned on, yes without notifications turned on, or not app user

  • Select 'Visit not confirmed' to show patients with an upcoming appointment that has not been confirmed on the schedule

  • Select 'New patient forms missing' to show patients that have not completed your new patient packet paperwork

  • Select 'Medical update due' to show patients that are due to complete a Health History Form

  • Select 'Patient' to show patients that are considered active in Dental Intelligence

  • Select 'Non-patient' to show non-patient individuals (typically guardians)

  • Select 'Prospective' to show prospective patients that have not yet scheduled an appointment

  • Select 'New patient' to show patients that are considered new

  • Select 'Unlinked from PMS' to show patients that do not have a corresponding chart linked from your PMS

  • Select 'Created from CSV file' to show patients that were added to your patient list when an email campaign was sent out using a CSV file as the recipient list

  • Select 'Guarantor' to show patients that are marked as a guarantor in your PMS

  • Select 'Dependent' to show patients that are marked as a dependent in your PMS

  • Select 'No email' to show patients that do not have an email address on file

  • Select 'No phone' to show patients that do not have a phone number on file

Age

  • Minimum age

  • Maximum age

  • Birthday

  • Add a minimum and/or maximum age range (Note: You can choose to enter only a minimum age or only a maximum age if desired)

  • Select 'Birthday' to show patients who have a birthday today

Future Visit

  • Date

  • Provider

  • Secondary provider

  • Operatory

  • Not scheduled

  • Scheduled

  • Apply the Date filter to sort patients: all patients regardless of visit status, visits today, visits tomorrow, visits this week, visits next week, or choose a custom date

  • Apply the Provider filter to sort patients by future visit by primary provider at your practice

  • Apply the Secondary Provider filter to sort patients by future visit by secondary provider at your practice

  • Apply the Operatory filter to sort patients by future visit by operatory at your practice

  • Click 'Not scheduled' to show patients that do not have a future visit

  • Click 'Scheduled' to show patients have have a future visit

Hygiene Scheduled

  • All

  • Yes

  • No

  • No - Recall past due

  • Click 'All' to show all patients

  • Click 'Yes' to show patients that have a hygiene appointment scheduled

  • Click 'No' to show patients that do not have a hygiene appointment scheduled

  • Click 'No - Recall past due' to show patients that do not have a hygiene appointment scheduled and are past due for their hygiene recall

Last Visit

  • Date

  • Provider

  • Secondary provider

  • Operatory

  • Apply the Date filter to sort patients by their last visit date: all patients regardless of their last visit date, yesterday, last week, last month, last year, last 2 years, over a month ago, over 4 months ago, over 6 months ago, over a year ago, less than 6 months ago, between 6-12 months ago, or choose a custom date

  • Apply the Provider filter to sort patients by last scheduled visit by primary provider at your practice

  • Apply the Secondary Provider filter to sort patients by last scheduled visit by secondary provider at your practice

  • Apply the Operatory filter to sort patients by last scheduled visit by operatory at your practice

Amount Due

  • 0-30 days

  • 31-60 days

  • 61-90 days

  • 90+ days

  • Outstanding balance

Choose any of the available date ranges to filter patient balances, or select 'Outstanding balance' to show all patients with an outstanding balance on their account.

Outstanding Treatment

  • $ minimum

  • $ maximum

  • Procedure code

  • Exact match

  • Add a minimum and/or maximum treatment dollar range (Note: You can choose to enter only a minimum dollar amount or only a maximum dollar amount if desired)

  • Click on the Procedure Code dropdown to select any/all procedure codes

  • Select 'Exact match only' to only show patients that match the exact procedure code(s) you have selected (For example: If you have selected codes D0120 and D0170, only patients with BOTH codes on their chart will show in the Patient Finder results)

Common Patient Finder Searches

Find Unscheduled Hygiene Patients

Looking for patients that are overdue for a hygiene appointment? If your practice utilizes Dental Intelligence Online Scheduling, we already have a list of overdue hygiene patients automatically populated for you! Just navigate to Schedule > Action Items > Hygiene Past Due. Learn more here.

Goal

Pull a list of existing patients who do not have a hygiene appointment scheduled and have no other future visit scheduled β€” your recall outreach list.

Filters

  • Filter > βœ… Patient

  • Future visit > βœ… Not scheduled

  • Hygiene scheduled > βœ… No

Steps

  1. Navigate to Patients > Patient Finder in the Engagement module/unified dashboard

  2. Click Filter then click to select Patient

  3. Next, click Future visit and select Not scheduled

  4. Next, click Hygiene scheduled and select No

  5. Click Save Filter to save these settings and add this filter combination to your Filters Library for future use

Best Practices

Make sure that your Hygiene Recall TouchPoint is enabled so that unscheduled patients are automatically receiving reminder messages to schedule their next hygiene appointment before they're past due. Learn more here.

Find Patients with Outstanding Treatment

πŸ’‘ Tip: If your practice utilizes Dental Intelligence Online Scheduling, we already have a list of patients with outstanding treatment automatically populated for you! Just navigate to Schedule > Action Items > Outstanding Treatment. Learn more here.

Goal

Identify patients who have accepted treatment or have open treatment plans in your PMS but haven't scheduled the work yet.

Filters

  • Filter > βœ… Patient

  • Future visit > βœ… Not scheduled

  • Outstanding Treatment > Choose $ min/$ max, procedure code(s)

Steps

  1. Navigate to Patients > Patient Finder in the Engagement module/unified dashboard

  2. Click Filter then click to select Patient

  3. Next, click Future visit and select Not scheduled

  4. Next, click Outstanding Treatment

    1. Enter in the minimum dollar amount and/or maximum dollar amount of the treatment (to see all patients with outstanding treatment, set the minimum amount to $0)

    2. Choose any/all treatment procedure codes that you would like to filter for

    3. Select 'Exact match only' to only show patients that match the exact procedure code(s) you have selected (For example: If you have selected codes D0120 and D0170, only patients with BOTH codes on their chart will show in the Patient Finder results)

  5. Click Save Filter to save these settings and add this filter combination to your Filters Library for future use

Build a Same-Day Cancellation List

Goal

Quickly reach all patients scheduled for a specific date β€” most commonly used when closing the office unexpectedly (weather, emergency, etc.).

Filters

Future visit > Date > Today

Steps

  1. Navigate to Patients > Patient Finder in the Engagement module/unified dashboard

  2. Click Future visit and then select Date > Today

  3. Click Save Filter to save these settings and add this filter combination to your Filters Library for future use

Best Practices

Find Patients with Missing or Outdated Forms

Goal

Identify new patients with missing new patient forms or patients who are due to complete an updated health history form––so you can proactively send forms before their next scheduled visit.

Filters

  • Filter > βœ… New patient forms missing OR βœ… Medical update due

  • Future visit > βœ… Scheduled

Steps

  1. Navigate to Patients > Patient Finder in the Engagement module/unified dashboard

  2. Click Filter then choose:

    1. New patient forms missing to show patients that still need to complete their new patient packet, OR

    2. Medical update due to show patients that are due to add or update their healthy history form

  3. Click Future visit and then select Scheduled

  4. Based on the form type you selected, your list will show patients with outstanding new patient paperwork or patients due to update their healthy history form

Best Practices

  • Make sure your active Welcome Notification, Save-the-Date, Appointment Reminder, and Check-in Request TouchPoints are automatically including forms links to patients with outstanding paperwork. Learn more.

  • Use Bulk Actions to contact all patients on this list via text or email in just a few clicks.

Print or Export a Patient List to CSV

If needed, once you've filtered a group of patients, click on Bulk Actions > Print patients or Export to CSV.

You can export up to 500 patients at a time. If your bulk action exceeds 500 patients, apply filters to reduce your list.
