With Dental Intelligence's LiveOps® dashboard, pending appointments—whether they come from teammates using Quick Fill, automated Predictive Scheduling, or patients requesting appointments themselves online—are all visible and manageable from one place. Color-coded blocks show you exactly what's proposed, requested, or confirmed at a glance, so you can approve, reject, or cancel invitations in just a click or two, without ever leaving your schedule view. It's a simple way to stay on top of your day and keep your chairs filled with less effort.
In order to schedule, create, and confirm appointments in LiveOps®, your Dental Intelligence user profile must have 'Full' LiveOps permissions.
LiveOps® Schedule Legend
Use this quick-reference guide to identify what each schedule block color means, and what actions are available for each.
Green rows | Practice is open to schedule during this time. Drag and select a time range with your cursor to schedule or propose an appointment.

Gray rows | Operatory is closed during this time or does not have any services set up. Drag/select functionality is not available.
📌 If you do not have LiveOps permissions set to 'Full' in your user profile, you will not be able to schedule, create, or confirm appointments on the LiveOps® schedule. |
Striped gray block with 'Closed' label | Based on your office hours, the practice is closed during this time. Drag/select functionality is not available.

Striped green block with time block label | Based on the time blocks set up in Dental Intelligence or your PMS, the operatory is closed or only allows certain services to be scheduled during this time (eg, 'New Patient Exams', 'Emergencies Only').

Blue appointment block | Appointment has been accepted and confirmed in your PMS.

Gray appointment block | Appointment has been requested but is not confirmed in your PMS.

Manage Quick Fill and Predictive Scheduling Invitations
Appointments proposed by teammates using Quick Fill will be blocked on the schedule and labeled as 'Time Slot Proposed' so that other teammates and patients booking online won't see that time shown as available.
Appointment slots that have been offered to patients via Predictive Scheduling automation (like Empty Slot Backfill) will show as a robot icon with a distinct striped block on your schedule, along with how many patients it's been offered to and the matched service type.
If a Quick Fill or Predictive Scheduling slot gets cancelled or expires, the block will once again be opened on the schedule for booking appointments.
Click on the block to view the details of which patients received the scheduling proposal and manage pending invites. In the Invite to schedule sent column, track the appointment status or cancel it if desired. Cancel invitations by clicking on Cancel next to a patient's name.
Note: The Status column of the appointment block details is a reflection of the appointment status, not the scheduling invitation message status. If the status shows as 'pending,' it means the message was delivered to the patient but the appointment invitation has not been accepted.
Cancelling a Quick Fill or Predictive Scheduling invitation that has already been sent to patients will not retrieve the message that has been delivered to the patient. Instead, the scheduling link that the patient received will no longer be valid and they will see this message when they click to open it:
"We are sorry, someone beat you to it! This appointment is no longer available but here are some more you might like!"
When a patient clicks on the Show Other Options button, they'll have the option to choose from other available appointment times for the same appointment type based on your schedule availability, with the details already prefilled.
📌 If you do not see an option to cancel the scheduling request, the invite has already been accepted or it has expired.
To update the expiration time for proposed appointments, please contact our support team for assistance.
Confirm or Reject a Requested Appointment
In addition to confirming appointments from the Personal Assistant inbox in Dental Intelligence, you can also confirm requested appointments from patients booking online or from scheduling invitations via the operatory view in LiveOps®.
Click on Schedule, then click LiveOps® from the left side menu
Requested appointments show up as gray appointment blocks in the operatory view on the right hand side of the dashboard
To confirm the requested appointment block, click on the thumbs up icon next to the patient's initials
To reject the requested appointment, click on the thumbs down icon next to the patient's initials
If you choose to accept the appointment, the LiveOps® dashboard will refresh and the accepted appointment will now show as a confirmed blue block on the operatory schedule
What happens after a requested appointment is accepted or rejected in LiveOps®?
Once a requested appointment is accepted, the patient will receive an automated Save-the-Date TouchPoint (if enabled), which includes the details of their upcoming appointment and outstanding forms/consents.
📌 If you choose to reject a requested appointment, the patient is not notified. You or a member of your team will need to reach out to the patient to find another time.
