Getting your new phones up and running takes just a few minutes. This guide walks you through setup from the first cable to your first dial tone, whether you’re using a desk phone or a cordless handset.

Voice by Dental Intelligence offers two types of phones:

  • Desk phones, available in a full-size and a compact model. Both are set up exactly the same way.

  • Cordless phones, for team members who move around the office. The kit includes a base that connects to your network and a cordless handset. You can add up to 10 handsets to a single base.

A Quick Note on Daisy Chaining

Most desks have only one internet jack in the wall, but both your phone and your computer need a connection. Daisy chaining lets them share it. The internet runs from the wall into your phone, and your phone passes it along to your computer, like people holding hands in a line. Your computer will work just as it did before.

Setting Up Your Desk Phone

Turn the phone over to find the ports on the back, then follow these steps.

  1. Connect the handset. Plug the handset cord into the handset and into the matching port on the phone.

  2. Connect to the internet. Plug one end of a network cable into your wall jack and the other end into the port labeled NET.

  3. Connect your computer (if you share a wall jack). Use a second network cable to connect the port labeled PC to your computer. If your computer has its own wall jack, you can skip this step.

  4. Check the screen. If it lights up, your phone is getting power through the network cable. This is called PoE, short for Power over Ethernet. If the screen stays dark, plug the power adapter into the 5V DC port and into an outlet.

  5. Add a headset (optional). If you use a headset, plug it into the headset port on the back of the phone.

  6. Pick up the handset. When you hear a dial tone, your desk phone is ready.

Setting Up Your Cordless Phone

The cordless system works a little differently. The base connects to your network, and the handsets communicate with it wirelessly.

  1. Choose a spot for the base. Place it somewhere central and high, away from microwaves, so your handsets get a strong signal throughout the office.

  2. Connect the base. Plug a network cable from the wall into the base. As with the desk phones, PoE can power the base through this cable. If the lights don’t come on, plug in the base’s power adapter.

  3. Prepare the handset. Put the batteries in the handset and set it on its charging stand. Give it a full charge, ideally overnight, before its first day on the job.

  4. Make a test call. Press the green call button and listen for a dial tone. You’re ready to go.
