Notification Types
There are two different types of notifications within the Personal Assistant:
Actionable Notifications
Actionable notifications are alerts that let you know that you have received information that requires a manual action from a team member. Use the To-Do filter to show all notifications that require an action.
Examples of Actionable notifications include:
Patient payments
Appointment requests
Covid-19 form (if any of the symptom questions have been answered yes)
Any forms that are submitted before a patient chart is created in Dentrix
By request of our support team, any patient paperwork can be made actionable
Click on Show Details to see the action that needs to be taken.
Once you've completed the action needed, click on the task checkbox and then click on the Bulk Actions dropdown. Choose Done and then confirm that you've completed the action needed by clicking Confirm.
Clicking on the file box icon in the upper righthand corner of a notification allows you to remove the notification from your main inbox to move it safely into the Archived folder.
A note about payment notifications
Patient payment notifications in the Personal Assistant are automatically written back and archived for Eaglesoft and Open Dental users if you have automatic Payment settings enabled.
If you do not have automatic Payment settings enabled, you must manually click Post to Ledger on each payments notification.
Dentrix users: Patient payment notifications must be manually posted to the ledger.
Non-Actionable Notifications
Non-actionable notifications are alerts that let you know that you have received information that does not require any manual action from a team member.
Examples of Non-actionable notifications include:
Patient messages received
Completed forms
Signed forms/consents
Signed treatment plans
To keep track of all paperwork being submitted and generated, select the Forms filter in the Category dropdown.
Click Show Details to expand and view additional information about the forms/consents/treatment plans that have been completed or signed, or click Download to view the actual document that was submitted.
Note: When you receive a forms submission in the Personal Assistant, Engagement autodetects signature fields and prevents them from loading. This helps ensure that your dashboard stays clean and uncluttered, allowing your office to practice smarter!
Click on the file box icon in the upper right corner of a notification to move it to the Archived folder.
Filter Notifications
As each notification appears in the Personal Assistant dashboard, there will be a color-coded tag added automatically.
Click on the different Category dropdown to filter only notifications in the selected category.
Archive Notifications
To archive a notification, click on the file box icon in the upper right corner to move the notification to the Archived folder.
If the notification requires an action in order to be marked as 'Done', you will be required to confirm that the action has been completed before it is moved to the Archive folder.
Access the Archived Notifications folder from the left side menu of the Inbox. Notifications moved into the Archived folder are not permanently deleted, you will always have a record of them here.
If you would like to move a notification from the Archived folder back to the All folder, click on the file box in the upper right corner to unarchive the notification.
Team Tasks in Personal Assistant (Beta)
If your office is currently enrolled in the Team Tasks Beta group, you'll also see Team Tasks assigned to you in the Personal Assistant dashboard, making it easy for you to stay on top of your assignments.
Use the 3-dot menu next to each task to reassign, log attempts, reschedule, or delete the task.
Or, use Bulk Actions to print/export your task list, assign tasks to another team member, reschedule task due dates, or delete tasks.
If you need to create a new task manually, just click the blue Create task button in the upper right corner.
