Engagement: Online Scheduling Invite Patients to Schedule

This article will explain how to invite your patients to schedule online using the Online Scheduling features in Engagement

Within Engagement, you can manually copy and paste an Online Scheduling link to send directly to a patient, or you can use the "Invite to Schedule" option built into their patient menu. Using the Invite to Schedule option will pre-fill the patients information for them, including contact information, provider, and appointment type. From there, the patient simply selects a time that is convenient for them and completes the scheduling process within seconds.

Invite a Patient to Schedule Online

  1. From the Patients tab in the left menu, select the three dot menu next to the patient's name

  2. Hover over Communication, then select Invite to Schedule

  3. This will require you to fill out the following fields:

    1. Select the Practice location that this patient can schedule at. If you do not have multiple locations, simply select your practice

    2. Select the Practice-level service types you would like to provide for this patient to schedule

    3. Select the Providers that this patient can be scheduled with

    4. Enter in the Earliest Scheduling Date for this patient (a number of weeks)

    5. Select the Preferred Delivery Channel

    6. If desired, click to check to send a Follow Up using the preferred delivery channel if the patient does not schedule after the entered amount of days after their last scheduling request was sent


      To modify the verbiage in the Follow Up message, access Settings and then click the Verbiage tab. Scroll through the available verbiage messages and then click Online scheduling - follow up.

      5. Click Send Invite

💥Note💥: If you have created a custom scheduling link, it will not appear in the "Invite to Schedule" option.


How to Send a Bulk Invitation to Schedule

  1. Access the Patients tab

  2. Select the patients to be included in the invitation to schedule

    1. Note: This can be done by filtering with the patient filters OR manually selecting each patient by clicking on the checkmark box next to their name.

  3. Click on Bulk Actions

  4. Click on Invite to Schedule and fill out the necessary fields

  5. Fill out the required information and click Send Invite
