Engagement: Create Targeted Email Campaigns Based on Patient Insurance Carrier

Learn how to curate a list of patients based on their insurance type in Analytics, then use Engagement to create and send an email campaign

Creating email campaigns for your patients based on their insurance carrier can lead to more personalized and relevant communication. It allows your practice to tailor information about accepted insurance plans, coverage options, and benefits terms. By targeting patients based on their insurance, your practice can increase the likelihood of patients scheduling appointments for preventive care. Ultimately, this approach can foster a stronger relationship with your patients, leading to higher patient satisfaction and retention.

In this article, we'll show you how to:

1. Use Analytics Patient Finder to Filter by Insurance

First, we need to create a filtered list in Analytics so that we can add it to our Engagement library.

  1. In Analytics, navigate to the Patient Finder dashboard in the left side menu

  2. Click Start From Scratch to begin a new list

  3. Click Edit Filters in the upper right corner

  4. Then, click + Add Filter

  5. From the list of available filters, click on Primary Insurance

Now it's time to decide what kind of insurance you'd like to filter by. Would you like to filter all patients with insurance, by a specific carrier, or patients without primary insurance?

Patients with insurance

  1. Click the Filter Type dropdown and select Has Any Value

  2. Then, click Save

  3. Click Done to view your list of patients with primary insurance. Next, click Save to add the list to your Saved Searches

  4. Add a Filter Name, then click Save

Patients covered by a specific insurance

  1. Click the Filter Type dropdown and select Contains

  2. Enter the name of the insurance carrier that you would like to filter by

  3. Then, click Save

  4. Click Done to view your list. Next, click Save to add the list to your Saved Searches

  5. Add a Filter Name, then click Save

Patients without primary insurance

  1. Click the Filter Type dropdown and select Is unknown

  2. Then, click Save

  3. Click Done to view your list. Next, click Save to add the list to your Saved Searches

  4. Add a Filter Name, then click Save

2. Access the Analytics List in Your Engagement Filters Library

Now, let's access the Engagement Patients dashboard and use this filter set to communicate with these patients in just a few clicks!

  1. If you haven't already, switch to Engagement by clicking on the product switcher in the upper right corner of Analytics

  2. Once in Engagement, click on the Patients dashboard

  3. Next, click on the Filters Library

  4. Then, click on the Analytics tab. Click on the Saved Searches section and locate the filter you previously saved in Analytics

  5. Click on the filter to apply it in Engagement, then use Bulk Actions to create an email campaign, send scheduling invitations, and more!

3. Use Bulk Actions to Send an Email Campaign

Click on the checkbox next to Bulk Actions to select all of the patients in your list, then click Send an email campaign.

Engagement has set limits for emails that are sent in bulk. Emails in Engagement are limited to 15,000 per hour for Bulk Messaging.

If you are unable to access this feature or make changes, you have not been granted permission in your user profile. Contact an admin team member in your practice to enable access or work with them to complete the steps outlined in the instructions below. Click here to learn how to update user permissions.

Or, Use Bulk Actions to Send Scheduling Invitations

Click on the checkbox next to Bulk Actions to select all of the patients in your list, then click Invite to schedule.
