Set Up Voice Schedules

How to create and manage business hours schedules for call routing — weekly time ranges, holidays, manual overrides, and use in dial plans.

A schedule tells Voice when your office is open and when it's closed. Dial plans check a schedule to decide where each call goes, for example ringing the front desk during office hours and playing an after-hours message at night.

Most dental offices need one schedule called Business Hours that holds your weekly hours and your holidays. You'll set it up once, then keep it current as your hours change.

Viewing and creating schedules

Click Schedules in the sidebar under Telephony in the Voice portal. The table lists each schedule's name, timezone, and number of time ranges. Click a row to open it.

To create a schedule:

  1. Click Add Schedule in the top-right corner

  2. Enter a Name, such as "Business Hours"

  3. Choose your office's Timezone. Double-check it, because hours are read in this timezone

  4. Click Add Schedule

The new schedule opens with no hours set, so it shows as Closed until you add them.

Getting around a schedule

Each schedule page has three areas:

  • Settings (left): the schedule's timezone, the current time in that timezone, and a badge showing whether the schedule is Open or Closed right now. Manual Override buttons sit below.

  • Weekly Hours (top right): a grid with a column for each day and a row for each hour. Shaded blocks are the hours you're open.

  • Holidays (bottom right): a full-year calendar of dates you're closed. Use the icons next to Import to switch between calendar view and list view.

Changes save automatically. A "Schedule updated successfully" message confirms each one. To rename the schedule, click the pencil icon next to its name.

Setting weekly hours

You set hours by drawing blocks on the Weekly Hours grid. A block covers the hours you're open that day.

  1. In the column for a day, click your opening time and drag down to your closing time. A shaded block appears

  2. To set an exact time, click the block. In the Edit time block box, type the Start and End times, then click Save

  3. Repeat for each day you're open. Leave days you're closed empty

To remove one block, click it and choose Delete. To remove every block and start over, click Clear all in the top-right corner of Weekly Hours.

Scroll inside the grid to see early-morning and evening hours.

Adding holidays

Holidays are days your office is closed, no matter what your weekly hours say. There are two ways to add them.

Import standard holidays:

  1. In the Holidays section, click Import

  2. Check the holidays your office observes, or click Select all. The list covers this year and next

  3. Click Import Selected

Add a single day: In calendar view, click the date. It's highlighted as a holiday right away. Use the arrows next to the year to move between years. This is handy for office-specific closures like a staff training day.

Switch to list view to see your holidays in date order. Upcoming dates show badges like Tomorrow or In 6 days, and past dates appear dimmed. To remove a holiday, click its trash icon.

Overriding the schedule for a day

A manual override temporarily forces the schedule open or closed, then switches back on its own. Use it when plans change at the last minute: closing early for a snow day, a power outage, or a team event, or staying open late for an emergency patient.

  1. In the Settings area, under Manual Override, click Force Open or Force Closed

  2. Choose how long it lasts: 1 hour, End of day, Tomorrow 9 AM, or Custom... to pick a date and time

While an override is on, a banner at the top of the schedule shows whether it's forced open (green) or forced closed (amber), with a countdown to when it ends. To end it early, click Cancel on the banner.

Tip: Use an override for one-time changes and a holiday for planned closures. Holidays stay on the calendar, so they're easier to review later.

Example: Setting up Business Hours for your office

This example uses common dental office hours. Swap in your own.

Day

Hours

Monday to Thursday

7:00 AM to 4:00 PM

Friday

7:00 AM to 1:00 PM

Saturday and Sunday

Closed

  1. Click Add Schedule, name it "Business Hours," choose your timezone, and click Add Schedule

  2. In the Monday column, drag from 7am to 4pm. Click the block and set Start to 07:00 and End to 16:00, then click Save

  3. Repeat for Tuesday, Wednesday, and Thursday

  4. In the Friday column, draw a block and set it to 07:00 to 13:00

  5. Leave Saturday and Sunday empty

  6. Click Import under Holidays, check the holidays your office closes for, and click Import Selected

  7. Click any extra closure dates on the calendar, such as the day after Thanksgiving or a continuing education day

Check the badge in Settings. During your office hours it should say Open.

Closing for lunch: Draw two blocks for that day, one before lunch and one after, such as 07:00 to 12:00 and 13:00 to 16:00. Calls during the gap follow your dial plan's Closed path, so make sure your after-hours message works for lunchtime callers too.

Using schedules in dial plans

A schedule does nothing on its own. It starts routing calls once you add it to a dial plan with a Schedule node.

When a call reaches a Schedule node, Voice checks the schedule at that moment and sends the call down one of its exits:

  • Open: the current time falls inside your weekly hours, or the schedule is forced open.

  • Closed: the current time is outside your weekly hours, or the schedule is forced closed.

  • Holiday: today is on your holiday list. This exit is only used when Route holidays separately is checked on the Schedule node. Otherwise, holiday calls follow the Closed exit.

Route holidays separately when you want holiday callers to hear a different message, like "We're closed today for Thanksgiving." See Creating Dial Plans in Voice for how to add and connect a Schedule node.

Tips

  • Check the timezone first. If it's wrong, every block is off by an hour or more, and patients may hear your after-hours message during the day.

  • Use the Open/Closed badge to test. After setting hours, look at the badge during the day. If it doesn't match reality, check your blocks and timezone.

  • Review holidays each fall. Import next year's holidays and add your office's own closure days before the new year.

  • Clear all removes every block at once. Use Delete on a single block when you only need to change one day.

  • Keep one Business Hours schedule. Several dial plans can share it, so an hours change updates every flow at once.
