LocalMed: Adding a Provider

Learn how to add providers in LocalMed and update practice management software settings to enable proper scheduling

You will need the following information for each provider you want to make available for LocalMed online scheduling:

  • Name of Provider

  • Provider ID

  • Provider's Operatory

  • Provider's Schedule (days of the week + hours on each of those days)

  • Appointment Types (which appointment types for which provider)

  • The provider must be set up in your practice management software as a provider

This video will walk you through the steps of getting your providers added to the LocalMed Online Scheduling feature.

In the following step by step instructions we will cover:


Adding a Provider

  1. Select Practice Overview from the menu on the left

  2. Click on "Add Provider" found in your Actions window

  3. In the General Info:

    1. Enter the providers NPI (if applicable)

    2. Upload a photo for patients to see while scheduling, however, these are not required

    3. Enter the first and last name of the provider, this information will only appear in the LocalMed portal

    4. Enter the name you would like for patients to see while scheduling in the display name box.

    5. Select the providers gender and click Next

  4. Select the providers specialties. Use the search field to quickly locate desired specialty. Multiple specialties can be selected per provider. If you aren't seeing the specialty you are looking for try clicking "Load More" to see more options!

  5. Click Next to continue

  6. Click to elect the office location you are adding this provider to and click Next to continue

  7. Enable the Operatories for this provider you want to make available for online appointment scheduling. Select each operatory and day that applies to this provider. If the provider only works certain ops on specific days of the week you can select just those boxes!

  8. Next, select the all appointment types you want to make available for online scheduling

  9. Next, review all of your provider details. Click the edit icon to make any changes and click Add Provider

  10. You will now see a loading sequence ending with the following screen:

If you are given an error after the loading sequence check if the provider was created before trying to make the profile again.

The provider has now been added to LocalMed. Next, let's check to ensure that your practice management software settings to ensure that the correct settings are enabled to allow for openings in the provider schedule.


Practice Management Software Settings

After a provider has been added to LocalMed, it's important to ensure that your practice management software settings have been properly enabled so that the provider shows as available with openings for patients trying to schedule. Follow the instructions outlined below based on your practice management software provider.

If you are using Perfect Day Scheduling, please contact DI support for additional assistance in enabling the correct practice management software settings.

Dentrix

  1. First, verify there is an opening that should be showing in the provider's schedule in Dentrix.

  2. Next, verify that the provider in question is highlighted blue for every operatory for the practice, even if the provider doesn’t work in those other operatories.

    To do this in Dentrix, first click Office Manager (chair icon) > Maintenance > Practice Setup > Practice Resource Setup > Provider ID > Assigned Operatories


    Note: You may need to use the toggle arrows to see all ops

  3. Next, verify that the provider has scheduled hours during the opening in question.

    To do this in Dentrix, first click Appointment Book (red book icon) > Setup > Provider Setup > Provider ID > Setup > double arrow on Day in question.

Eaglesoft

  1. First, verify there is an opening that should be showing in the provider's schedule in Eaglesoft.

  2. Next, verify that the provider is assigned to the correct operatory and has correct hours.

    To do this in Eaglesoft, from the main window click on Lists > Providers/Staff. Double click on the provider and then click Hours and select the operatory for the provider from left column. Then click View Hours.

Open Dental

  1. First, verify there is an opening that should be showing in the provider's schedule in Open Dental.

  2. The provider should have hours and the correct op(s) assigned on the date and time in question.

    To do this in Open Dental, click on Appointment Book > Setup > Schedules. The provider should have available hours on the date and time in question.
