Analytics: How are appointments allocated to providers?

Understand how appointments are linked to providers in Analytics and the fields you need to have filled out

All practice management software have fields on their appointments for linking providers. These fields will either by “Doctor” and “Hygienist”, or “Primary Provider” and “Secondary Provider”. Either way, we don’t mind who is in which field, because we allocate the appointment based on user role.

Important note: Dollar amounts on the My Schedule view are not allocated this way.


Restorative Appointments

If the appointment is categorized as restorative then we allocate based on these priorities:


1. A doctor in the primary field will take top priority
2. A doctor in the secondary field
3. if no doctors are connected then the user in the primary field will take priority

Hygiene Appointments

If the appointment is categorized as hygiene then we allocate based on these priorities:

  1. A hygienist in the primary field will take top priority

  2. A hygienist in the secondary field

  3. if no hygienists are connected then the user in the primary field will take priority

If the appointment is categorized as both restorative and hygiene or “other”, we allocate it to both provider schedules.

Practice Management Software Allocation Fields

Depending on your practice management software, ensure you have added the correct providers and/or hygienists to each field for each appointment:

Open Dental

  • Provider field

  • Hygiene field

Additional note for Open Dental users: If the patient is NOT seeing a hygienist for the appointment, do not add the hygienist in the hygiene field for the appointment or else it will allocate the appointment to hygiene.

Eaglesoft

  • Provider field

  • Hygiene field

Additional notes for Eaglesoft users:

  • Only the provider that the patient is seeing should be entered in the "Provider Time" area of the appointment (see above).

  • If the patient is NOT seeing a hygienist for the appointment, do not add the hygienist in the hygiene field for the appointment or else it will allocate the appointment to hygiene.

Dentrix

  • Provider field

  • Add'l Provider field
