Engagement: Using the ASAP List

Organize patients using the ASAP tag and manage them from your ASAP List to get them on your schedule

An ASAP List is crucial for keeping your schedule full and ensuring patients stay up to date with their care. It helps you quickly fill last-minute cancellations with patients who are ready to come in, preventing any gaps in your schedule. Engagement makes it easy to maintain your ASAP patients by implementing tags and using bulk action to communicate with these patients efficiently, keeping your schedule full.

If your practice uses Engagement Online Scheduling, there's a pre-made ASAP list waiting for you in the Action Items dashboard. If your practice doesn't utilize Engagement Online Scheduling, you can manage ASAP patients from the Patients dashboard in Engagement.


Patients Dashboard

Tag ASAP Patients

In addition to tagging ASAP patients from your practice management software, you can also tag patients directly in Engagement.

Click on the Patients dashboard in the left side menu, then click on the plus-sign icon next to the patient's name. From the tag list, click on the checkbox to select the ASAP list tag.

Note: Once you have tagged or added a patient to the ASAP List, it will give them a permanent purple ASAP patient tag. To learn more about patient tagging, click here.

Use Bulk Action or the 3-Dot Menu to Communicate with ASAP Patients

Quickly contact ASAP-tagged patients using bulk action or by clicking on the 3-dot menu next to their name.

  1. From the Patients dashboard, click on the Filter column and then hover over Tag. Select the ASAP list tag to show only patients that have been tagged as ASAP

  2. To select all ASAP patients, click on the checkbox next to Bulk Actions. Then click Bulk Actions and choose your preferred method of communication, such as a direct message or email campaign

  3. To contact a single ASAP patient, click on the 3-dot menu next to their name. Hover over Communication, then choose to send them a direct message or email campaign

Online Scheduling Action Items Dashboard

The Online Scheduling Action Items dashboard makes it easy to quickly get in touch with patients that have overdue hygiene, outstanding treatment, and more. The ASAP List pulls patients that have been tagged in your practice management software or Engagement in a convenient centralized location.

Add a Patient to the ASAP List

  1. From the Action Items dashboard, click on the ASAP List category block, then click the Add patient button


    πŸ“ Important note: Patients can also be added to the ASAP List automatically from your practice management software, reducing the risk of missing any patients. However, it's important to note that removing patients from the ASAP List will still require manual action.

  2. Search for the patient that you would like to add to the list. Here, you can add:

    • Notes

    • Preferred provider

    • Preferred appointment time

  3. Preferences are recorded on your dashboard:

ASAP List Filters

Click on the Patient Status, Date Requested, Preferred Appt Time, or the Provider columns to apply filters in the ASAP List within the Action Items dashboard.

Remove a Patient from the ASAP List

To remove a patient from the ASAP List, click on the trash icon in the far right column of the dashboard. This will remove the ASAP tag from their patient card.

Print the ASAP List

In the event that you would like to print the ASAP List, simply click the checkbox to select all or multiple patients, then click Bulk Actions and Print ASAP list from the dropdown menu.
