Using the Bulk Action feature in Engagement makes it easy to communicate with a group of patients with just a few clicks

Many times, it makes sense to communicate with more than one patient at a time to reduce the amount of time you spend preparing messages. The Bulk Action feature in Engagement allows you to create patient lists, send mass emails, texts, voicemails, review requests, forms/consents, and more!

If you are unable to access any of these features or make changes, you have not been granted permission in your user profile. Contact an admin team member in your practice to enable access or work with them to complete the steps outlined in the instructions below. Click here to learn how to update user permissions.


Patients Dashboard

Create and Save Patient Lists in the Patients Dashboard

Before sending out a bulk action, filter patients in Engagement to capture only a specific group. The Engagement Patient dashboard allows you to manage your patient database and view patients' contact information, appointment history, and treatment plans.

Click on the dropdown arrows available in each column to apply filters and create patient lists.

Columns that have filters applied will turn green. Click on the Save Filter option in the upper right corner to save the selected filter combination to your Filters Library so that you can quickly navigate to it for future use.

Access the Bulk Action Dropdown Menu

To send a mass communication to multiple patients at once, filter the patients list and then click the ☑️ checkbox to select all. Choose Bulk Actions and then click on the desired communication type from the dropdown list to open the task window.

Bulk Direct (Text) Messages

Engagement has set limits for texts that are sent in bulk. Texts in Engagement are limited to 250 per hour for Bulk Messaging.

Why are texts limited to 250 messages/hour? Text messages should only be used to send important office updates to impacted patients. Sending mass text messages runs the risk of the number being flagged as marketing/spam by carriers and not being able to communicate with patients via text. If your filtered list exceeds 250 patients, try using the age filter to reduce the size of your list.

Bulk Emails

Engagement has set limits for emails that are sent in bulk. Emails in Engagement are limited to 15,000 per hour for Bulk Messaging. As a general rule of best practices, marketing should always be done via email.

Bulk Voicemail Drops

Voicemail drops are a quick and easy way to provide urgent information and personal messages to patients in the form of a voicemail message.

Voicemail Drop credits are required in order to use this feature. Each voicemail sent will require one credit. If voicemails are not delivered or if the patients voicemail box is full, you will not be charged for that credit.

Bulk Online Scheduling Requests

Online scheduling saves time and increases efficiency for both your practice and its patients. By allowing patients to schedule appointments online, your practice can:

  • Reduce phone calls

  • Save time on administrative tasks

  • Focus on patient care and other tasks

  • Improve patient satisfaction by providing more flexibility and convenience

Bulk Review Requests

Once your Review sites have been added in Engagement Settings, easily send out bulk Review Requests to patients automatically after their appointment has ended.

Internal Bulk Actions

In addition to all of the bulk patient communication actions available in Engagement, you can also simplify your internal administrative practices by using these bulk actions:

Sync Selected Patients with Practice Management Software

Push a patient sync with your practice management software in bulk. This is commonly used when any patient demographic changes (name, phone, email) are made.

If changes to patient appointments are made in your practice management software, Engagement will automatically update those changes overnight. However, if a last minute change is made, you will need to click the sync patient.

To update the patient with any recently changed information, click on the Synchronize patients with PMS option to sync the changes with your practice management software.

Print / Export CSV

If desired, select a list/group of patients and then click on Bulk Actions > Print patients or Export to CSV.

Delete Unlinked Patients in Bulk

Need to delete unlinked patients from your dashboard? Delete up to 5000 unlinked patients at once by clicking on the checkbox to select Bulk Actions, then click Delete unlinked patients.

Important note: Linked patients will not be deleted even though they may be included in your selection.

Update Patient Tags in Bulk

Save time updating patient tags by applying them in bulk using Bulk Action! From the Bulk Action dropdown, choose Update tags and then click on the desired

☑️ checkboxes before clicking on Apply to save your changes.
