Overview
The Dental Intelligence integration with Denticon brings powerful patient management and administration capabilities to your practice. This integration enables seamless two-way data synchronization, online scheduling, digital forms, payments, and patient communication tools that work directly with your Denticon practice management software.
This guide covers the key features of the integration and how to configure them for optimal performance.

The Dental Intelligence integration with Denticon provides:

Digital Forms: Patients complete forms online with automatic data synchronization
Online Scheduling: Patients can book appointments directly from your website
Payments*: Conveniently collect payments from patients in-office or online (*Add our Payments solution to your Dental Intelligence subscription for an additional cost)
Data Syncing: Patient information stays up-to-date across both systems
Please note: The Dental Intelligence integration with Denticon does not yet support the Eligibility feature in the Engagement Module.
How Data Synchronization Works
Sync Frequency
Data synchronization between Denticon and Dental Intelligence occurs in 15-minute intervals. While this isn't true "live" syncing, it ensures your data stays current throughout the day without overwhelming your system.
Important: If multiple changes occur to the same record within a 15-minute window, only the final state will be synced. For example, if an appointment status changes from Scheduled to Confirmed to Unconfirmed within 15 minutes, Dental Intelligence will only receive the Unconfirmed status.
What Data Syncs
The integration syncs the following data types:
Patient demographics and contact information
Appointments (new, modified, and cancelled)
Medical alerts and health history
Responsible party information
Treatment plans
Online Scheduling Setup
Dental Intelligence Online Scheduling allows patients to book appointments directly through your website. Proper configuration in Denticon is essential for this feature to work correctly.
Provider Configuration
In Denticon, navigate to Setup > Providers > Provider Setup and verify the following settings for each provider:

Works At | Configure to work at the desired office |
OPs (Operatories) | Configure to work at the desired operatories |
Schedules | Effective schedule must exist for the office and provider |
Watermarks | Must be configured for each OP/time/day the provider should be available. Configure for the whole day to prevent booking conflicts — EOS bookings cannot overlap two watermarks. |
Office Configuration
Navigate to Setup > Offices > Office Setup and configure:
Schedules: Ensure schedules exist for each office
Holidays: If configured, will block bookings during specified times
# of Days Allowed to Search from Current Date: Set to 0 for same-day bookings
Default Patient Request Appointment Duration: Set to a value divisible by your Production Type AppointNow Duration
Production Type Setup
In Setup > Misc Setups > Scheduler Production Type:
The Production Type selected for Watermarks must be set to Active
The Production Type must be set to Visible in AppointNow
Important Notes
Appointment Duration: The practice default appointment duration must be divisible by the production type duration if the default is less. It doesn't matter if the practice default is higher.
Lunch Breaks: Practice or provider lunch breaks will automatically block scheduling during those times
Dental Intelligence Override PMS Provider Availability/Time Blocks: Dental Intelligence cannot read provider schedules from Denticon. Instead, in Dental Intelligence Online Scheduling, enable the "Override PMS" toggle and configure it to mirror Denticon provider schedules and time blocks.
Appointment Statuses: Dental Intelligence cannot write back appointment statuses (other than confirmed) to Denticon from LiveOps.
New Patient Creation
Required Denticon Setup
Navigate to Setup > Misc. Setups > Referral Types > Edit and create a new Referral Type:
Type Code: DENTALINTL
Description: Can be customized to your preference
How New Patient Creation Works
Patient is Created in Dental Intelligence: The patient is created in Dental Intelligence from the Patient Finder dashboard by entering their First Name, Last Name, Date of Birth, and Email Address (minimum required fields)
Unlinked Status: Once created, the patient appears in Dental Intelligence as unlinked until the office creates them in the PMS and accepts them in Denticon
Office Review: In Denticon, navigate to Patient > Online Registered Patients - New to view pending registrations
Office Acceptance: Choose to add the patient to an existing Responsible Party or create a new one
Data Sync: Once accepted and synced, the patient becomes linked in Dental Intelligence
Required Information During Acceptance
When accepting a new patient, you'll need to provide:
Relationship to Responsible Party
If creating a new Responsible Party:
First and Last Name
Full Address
Email Address
Cell Phone Number
Responsible Party Type
Medical Information and Recall Information (both optional)
Important: If you modify patient information during the acceptance process, the patient will remain unlinked in Dental Intelligence. A new patient record will be created during the next sync instead.
Digital Forms Integration
With Dental Intelligence, patients can complete forms online with completed forms automatically written back to Denticon and patient information updates queued for office approval.
What Forms Can Update
Completed forms can update the following fields in Denticon (after office acceptance):
Preferred Name
Email Address
Mobile Phone Number
Home Phone Number
Full Address
Completed forms cannot update these protected fields:
First Name
Last Name
Middle Initial
Gender
Date of Birth
Social Security Number
Form PDF Write-Back
Completed form PDFs are automatically saved to the patient's Notes section in Denticon. This happens immediately without requiring office acceptance.
Requirements:
Document Categories must be configured by Dental Intelligence Support
Forms cannot be written back for Responsible Parties — only for patients
Viewing Forms:
Filter the Notes section to show only documents, then click the paperclip icon to view the PDF
Accepting Patient Information Updates
When a patient updates their information via a Dental Intelligence form:
The patient information updates immediately in Dental Intelligence
In Denticon, view pending updates at Patient > Online Patient - Existing
Click on a patient name to open their Patient Overview, then click the red bell icon to review changes
Accept the changes to update Denticon — these will then sync back to Dental Intelligence
Note: If you resync the patient before accepting changes, the Dental Intelligence patient card will revert to match Denticon's data.
Medical Alerts
Patients can update medical alerts through forms. To accept these updates:
Navigate to Patient > Online Patient - Existing
Click on a patient name to open the Patient Overview
Click on Medical Alerts
Click Import Online Medical History to review and accept the updates
Important limitation: No medical alerts can have the "Set State as Required" option enabled in Denticon for forms to function properly.
Payments
By adding Payments to your Dental Intelligence subscription and integration with Denticon, you'll get paid faster, save valuable time, and gain peace of mind. Simplify the process and speed up collections with our text-to-pay options and personalized dental payment requests.
Important Notes
Patient balances are synced nightly
Payments do not write back to the Denticon ledger and must be posted to the ledger manually

Best Practices and Tips
For Online Scheduling
Set watermarks to cover entire working days to prevent booking conflicts
Ensure production type durations align with your practice default appointment times
Configure holidays to automatically block bookings during office closures
For New Patient Registration
Encourage patients to fill out all fields, even though only four are required
Review and accept new patient registrations promptly to maintain data accuracy
Avoid modifying patient information during the acceptance process to prevent unlinking issues
For Digital Forms
Set up Document Categories with help from your Onboarder or Support Agent before deploying forms
Regularly check for pending patient information updates in Denticon
Remember that forms written back to Denticon appear in the Notes section immediately
Troubleshooting Common Issues
Patient Remains Unlinked
Cause: The office hasn't accepted the new patient in Denticon, or information was modified during acceptance
Solution: Check Patient > Online Registered Patients - New and accept the patient without modifying their information
Bookings Not Pushing to Denticon Schedule
Cause: Provider not configured correctly, watermarks missing, or production type not visible
Solution: Verify all provider settings, ensure watermarks cover desired booking times, and confirm production type is set to "Visible in AppointNow"
Form Updates Not Appearing in Denticon
Cause: Changes haven't been accepted by the office, or the field is protected
Solution: Check Patient > Online Patient - Existing for pending updates. Verify the field is not in the protected list (First Name, Last Name, DOB, etc.)
Data Not Syncing
Cause: May be within the 15-minute sync window, or multiple rapid changes were made
Solution: Wait for the next 15-minute sync cycle. Remember that only the final state of rapidly changed records will sync
