Engagement: Automated Birthday Messages

Learn how to set up birthday messages that can be sent automatically to patients in Engagement

Sending birthday messages to your patients has now been simplified! Wish your patients a happy birthday by enabling automated Birthday Messages in Engagement.

Review Your Birthday Message Templates

Before you start sending automated birthday messages, you need to setup a custom Birthday Message Template in both email and text format.

Setup a Custom Birthday Text Template

To setup and customize a birthday text template:

  1. Click on the settings gear in the upper right corner of Engagement, then click Templates

  2. From the Engagement library section, click on the Birthday category to expand it

  3. Click on the copy icon next to the Happy Birthday! template

  4. You'll notice that the birthday template you just copied has now been added to the Custom templates section. Click on the 3-dots next to the new custom birthday template and click Edit

  5. Update the template name, written content, and add placeholders as needed. When finished, click Save

Setup a Custom Birthday Email Campaign Template

To setup and customize a birthday email template:

  1. From the left side menu of Engagement, click on Email Campaigns. Then click Templates

  2. Click on the Templates gallery section, then use the search bar and search 'birthday'

  3. In the Holidays category, you'll find the Patient 1 Birthday or Patient 2 Birthday template. Choose the template you'd like to use by clicking on the 3-dot menu and then click Copy to my templates

  4. Update the template name, then select the Birthday category from the dropdown list. When finished, click the blue Copy button

  5. Now, click on the My templates section near the top of your screen. Use the search bar to search for the name of your template or locate it in the Birthdays category. Click on the template's 3-dot menu, then click Edit template

  6. Make your desired edits to the template. When finished, click the blue Save button in the bottom right corner


Enable Automated Birthday Messages

Once you've set up your text and email birthday templates, it's time to enable your automated birthday messages and start sending them to patients.

  1. In the left side menu of Engagement, click on Follow Ups. Then click on TouchPoints

  2. Click on the Other category tile

  3. Click on the blue Add TouchPoint button

  4. Click Birthday message

  5. Next, setup the birthday automation rules:

    1. Choose the time that the message will be sent at

    2. Use the Skip Patients field to avoid sending birthday messages to patients seen outside of the selected time frame

    3. Select the email and text message template that you would like to use

    4. Select the preferred delivery channel (email or text)

  6. When finished, click Add

  7. Once added, the birthday message TouchPoint will show as active and enabled. Birthday messages will begin being sent to patients within 10 minutes of activation

Please note: If there is no content found in the Birthday Templates you have selected (email and text), automated birthday messages will not be sent.


Edit Birthday Automation Preferences

You can edit birthday message automation settings in just a few clicks in your TouchPoints dashboard.

  1. In the left side menu of Engagement, click on Follow Ups. Then click on TouchPoints

  2. Click on the Other tile, then click on the 3-dot menu next to Birthday message and choose Edit

  3. Adjust your automation settings in each of the desired fields. When finished, click Save


Disable or Delete Birthday Message Automation

To disable automated birthday messages, click on the green toggle to turn it off. The status will show as inactive and the toggle will be greyed out. Once deactivated, automated birthday messages will no longer be sent to patients.

To completely delete your birthday message automation, click on the 3-dot menu next to Birthday message and choose Delete.
