Required Steps Before Changing or Updating your Practice Management Software

If you are planning to switch your practice management software or upgrade to a new version, follow these steps before taking action

You must contact Dental Intelligence Support before switching or upgrading your practice management software. Proceeding without notifying us first may result in permanent data loss, broken syncs, and disruption to your Dental Intelligence services that we cannot guarantee we can recover.

Step 1: Contact Support First

You must reach out to Dental Intelligence Support before proceeding

Do not begin your software switch or upgrade until you have contacted our support team. This is not optional. Our team must coordinate the transfer on the backend to protect your data and maintain your Dental Intelligence connection.

Step 2: Timing Requirements

Contact us at least 24 hours before your scheduled transfer

If your subscription includes the Engagement module, you are required to contact support a minimum of 24 hours before your software transfer date. The full transfer process takes approximately one full business day to complete.

Our support team will need access to your server computer during this process — typically a back-room computer not used for day-to-day work. If your office uses an IT group to manage your server, you can share this guide with them or connect them directly with our support team.


What to Expect: Data Impacts

Understand what changes when you switch software

Before proceeding, you need to be aware of the following impacts that occur during any practice management software switch. These are not reversible.

  • Follow Ups do not transfer. Any open Follow Ups created in your Analytics module will not carry over to your new Dental Intelligence portal. They must be manually re-created after the switch.

  • Your old portal is permanently deleted after 30 days. Once your new portal is active, your previous Dental Intelligence account and its data will be purged after 30 days and cannot be recovered.

  • Eaglesoft does not retain historical case data. If you are switching to or from Eaglesoft, be aware that Eaglesoft does not track historical case data. This will result in a gap in performance history visible in Dental Intelligence.

  • Open Dental Clinics must be set up. If you are merging or switching from Open Dental to Open Dental Clinics, you must contact support prior to updating to OD Clinics so that we can ensure the data connection on the backend is correctly configured.


Before Upgrading Your Current Software Version

Check compatibility before updating

If you are upgrading your existing practice management software to a newer version (not switching to a different product), you must verify compatibility with Dental Intelligence before installing the update. Upgrading to an incompatible version can cause data loss, sync failures, or unexpected downtime.
