Training for Marketing Team

This training is designed for those overseeing your practice marketing strategy

Dental Marketing doesn't have to be complicated. Whether your goal is to attract new patients or keep current ones engaged, Dental Intelligence provides effective ways to build connections with your audience.

With features like a custom mobile app, a built-in patient loyalty program, and an email marketing platform with ready-to-use templates, we provide everything you need to create a better, more convenient experience for your patients while helping your practice stay connected and engaged.

Automatic TouchPoints to Promote Patient Engagement

While standard automations like appointment reminders are helpful for keeping schedules on track and supporting your marketing efforts, Dental Intelligence also offers more personalized automation options designed to target specific patient groups or initiatives. These customized touchpoints help patients feel more connected to your practice and reassured that their individual needs and care are being prioritized.

1. Review Requests

The Review Request TouchPoint can be found in the left-hand menu under Follow Ups, then TouchPoints. You can choose when your messages are sent and which review platforms patients can use.

Note: If a review platform link is missing, contact the support team using the chat icon in the lower-right corner.

You can also personalize messages by adding images, pre-recorded voicemails, or an option for patients to leave private feedback directly with your practice instead of posting a public review.

Be sure to review your text and email templates to make sure the wording fits your practice. To edit them, go to Settings, then Verbiage and scroll to the TouchPoints section. Admin users can click the pencil icon to make changes.

If you are not ready to fully automate review requests, there are safeguards available. Patients can be opted out of both automated and manual review requests from their patient card.

You can also send review requests manually in bulk from the Patients menu.

2. Patient Reactivation Campaign

Use the Patient Reactivation TouchPoint™ to automatically send messages to patients who have gone longer than your selected number of months without an appointment.

Just like the Review Request, you will want to adjust timing, preferred delivery channel, and customize templates.

Once you active this touchpoint, messages will start to send within 10 minutes.

3. Birthday Message TouchPoint

Remembering your patients’ birthdays is a simple way to make your practice feel more personal and connected. Sending a quick birthday message helps patients feel valued, strengthens relationships, and can increase long-term loyalty and engagement with your office.

This TouchPoint offers more flexibility when customizing templates. To edit text message templates, go to Settings, then Templates, then Create New. You can use placeholders to automatically personalize messages with each patient’s information.

Birthday email templates are created in the Marketing dashboard on the left-hand menu. There, you can design a template to add photos, links to gift cards, or even birthday videos from your team to make messages feel more personal and engaging. If you want to learn more about creating Email Templates, look here.

Note: If your practice has the Patient Mobile App and Loyalty Program enabled, patients can also earn reward points on their birthday, which is a great feature to highlight in your messaging. We’ll cover the mobile app and loyalty program in the next section.

Patient Mobile App and Loyalty Program

With the mobile app, your patients have a convenient way to stay connected with your practice anytime, anywhere. From scheduling and confirming appointments to messaging your office and updating personal information, everything they need is easily accessible in one place.

To enable the app, go to Settings, then Mobile App / Loyalty Program. The mobile app will not be available to your patients unless this box is checked and you click Save. Once enabled, your practice becomes searchable within the app.

Before turning it on, it’s recommended to set up the Loyalty Program. This allows patients to earn points for actions like celebrating a birthday, completing forms and consents, or confirming appointments on time. You can turn each reward on or off in the Rewarded Actions page, and adjust how many points are assigned to each activity.

Note: If you prefer not to use the Loyalty Program, simply disable all rewarded actions and save your settings.

When patients earn enough points, they can view and redeem prizes you’ve set up in the app. Each reward has a point value you define.

When a patient redeems a prize, they receive a code, which you can enter in their patient profile under the Rewards section. This deducts their points and completes the redemption.

Overall, it brings all your patient engagement tools into one convenient place.

Email Marketing

1. Create a Template

The marketing team at Dental Intelligence has created dozens of pre-built templates for you to browse and use in your marketing efforts.

To find these templates, navigate to the Marketing section on the left-hand menu and click Email Templates.

You’ll automatically be taken to the My Templates page. To view the pre-built options, select the Templates Gallery tab. Click on the three dot menu on any of the pre-built templates and click Copy to My Templates to start editing.

Templates can include images to highlight new employees, showcase stock photography, or display graphics explaining recommended treatment plans. You can also add videos created by your practice, such as birthday messages, practice introductions, or other practice-specific initiatives. Educational videos can also be included to help engage and inform patients.

In addition, templates can feature buttons that direct patients to your online scheduling page, practice website, or patient portal, where they can pay balances and complete required forms.

If you already have custom HTML code available, templates can also be created using your own HTML formatting and design.

2. Send a Campaign

Once you’ve designed your template the way you want, the next step is preparing your target group. Use the Patient Finder tool to filter and identify specific groups of patients. Be sure to save your selected group to your library so you can quickly access it when you’re ready to launch your campaign.

Here are some recommended email campaigns along with suggested sending cadences to help keep your patients engaged without overwhelming them:
