Training for Team Members

This is a training resource designed to help you learn how to use the Dental Intelligence platform in your daily workflows

Whether you are managing schedules, communicating with patients, presenting treatment, or following up on daily tasks, Dental Intelligence plays an important role in your daily workflow. This guide is built specifically for team members who use Dental Intelligence regularly and will help you understand the tools and features most relevant to your role so you can feel confident using the platform.

Our goal is to help you quickly find the training most relevant to your role.

1. Log in to Dental Intelligence

When your practice administrator or whomever set up the dental intelligence platform adds you as a user, you will receive an email with your credentials and a link to login to the platform.

Then, enter your credentials to access your platform.

Starting Your Day

1. Prepare for your Morning Huddle

The Morning Huddle is located in your left-hand menu. It is a meeting template that helps your team quickly review missed and upcoming opportunities. It shows what happened in the practice yesterday, what went well, and what needs attention today and tomorrow. It’s usually led by the office manager or doctor.

Print off your daily schedules for Today, Tomorrow, or both

Review the missed opportunity tiles and be ready to speak to anything in your area. For example, if you handle scheduling treatment, and see patients who weren’t rescheduled, note why and create a follow-up task to reach out to them.

2. Check for updates in the Personal Assistant

After your morning huddle and before patients arrive, review the Personal Assistant dashboard.

The Personal Assistant is your central dashboard for tracking patient activity in Dental Intelligence. It keeps you updated when patients fill out forms, schedule appointments, make payments, or send messages.

Each team member should check the Tasks section of the Personal Assistant each morning to see which patients require a follow-up on that day.

Note: even if you didn’t create a reminder for yourself, your practice administrator may have set up automations that assign tasks based on criteria, like unscheduled treatment or past due balances.

Tools to Use Throughout Your Day

1. LiveOps

LiveOps® gives you a virtual operatory view that shows who is expected, who has arrived, who is seated, and who is ready to check out. This helps you see open operatories and improve efficiency. It also gives a single dashboard view of your daily schedule and patient flow from start to finish.

LiveOps helps streamline communication across your office. When patients are in the seated section, you can quickly request anesthetic, ask for extra assistance, and leave notes in the checkout handoff area so there’s no need to share sensitive information out loud.

It also makes it easier to fill gaps in your schedule with built-in online scheduling tools. Next to each patient photo, you can hover to access a three-dot menu with multiple communication options, including text, email, review requests, form requests, and more.

Overall, it brings all your patient engagement tools into one convenient place.

2. Patient Chat

In Dental Intelligence Patient Chat, you can assign conversations to specific team members.

Click the three-dot menu on a chat, select “Assign to,” choose a team member, and set a time frame for how long it should be assigned.

To view only your assigned messages, use the filter option and select “Assigned to me” so you can quickly respond and stay on top of conversations.

3. Patient Finder

The Patient Finder is a dashboard showing all patients in your practice, which you can filter into custom lists for any purpose.

You can create and save lists in seconds using filters such as age, status, last visit, balance, provider, and more.

If there isn’t a predetermined filter that meets your needs, align with your team on how you want to use the custom tagging options on this page.

From there, you can send messages in bulk, whether it’s an email campaign, text message, review request, payment request, or online scheduling invitation.

4. The Patient Card

Although the Patient Finder is useful for bulk messaging and applying filters throughout your day, it’s important to get familiar with the Patient Card since it holds almost all of the information you need about a specific patient.

There are two ways to access the patient card. The first is by clicking on the patient’s name in the Patient Finder dashboard.

From other dashboards, locate the three-dot menu next to the patient’s name and select the patient card option.

Within the patient card, you can view a record of all submitted documents, check for any outstanding tasks, and see which team member is responsible for follow-up. You can also chat directly with the patient, review past communications, and view quick insights in the stats section for anything that may need attention. It’s a good idea to have this card open while checking patients out after their appointments.

Additional Features to Streamline Your Workflow

1. Payments

*Payments is a premium add-on to your subscription

With Dental Intelligence Payments, patients can review their balance and pay online in just a few clicks using a simple link. No apps or accounts are required, making it easy for both new and existing patients.

Patients also have the option to save a card on file for even faster, more convenient payments in the future.

In the Revenue Cycle dashboard, you can easily track transactions, deposits, payment requests, accounts receivable, and payment plans.

In the Transactions dashboard, you can send payment receipts, push information to the ledger, and process refunds.

In the Payment Requests dashboard, you can check the status of each request and cancel it if needed.

The Accounts Receivable dashboard shows all patients with outstanding balances. You can filter this list and send payment requests in bulk.

The Payment Plans tab displays active plans and upcoming payment dates, and allows you to update the card on file or cancel a plan.

2. Insurance and Eligibility

With Dental Intelligence Insurance, you can handle claims from start to finish in one place with digital submissions, real-time tracking, and unlimited attachments at no extra cost. Additionally, verify eligibility instantly or automatically in the background, and know exactly what payers need with claim validation.

3. Online Scheduling

With Dental Intelligence Online Scheduling, patients can see your real-time availability, pick a time that works, and book the appointment online.

When they book, it goes straight into your practice management system, so your schedule stays accurate without double-booking or missed requests.
