Dental Intelligence is an all-in-one platform that gives you clear visibility into your entire patient revenue cycle. Instead of manually pulling reports, sending statements one by one, or making time-consuming collection calls, you can manage it all in Payments with just a few clicks.

This article shows you how to identify outstanding balances, filter for the accounts you want to focus on, and send customized messages, all in one place.


Identify Outstanding Balances

1. The Collections Board

The Collections Board in Dental Intelligence shows your practice’s collections data in one place. It includes metrics like AR Aging, Claims Aging, Payment Timeliness, and Collection Percent.

To recreate the accuracy and depth of information that the Collections Board provides, you would need multiple people digging into your dental practice management software full-time, all running data analysis on the information they pulled out of the practice management software. They would then need to put that into a dashboard for the practice owner that is easy to understand and act on. This tool makes it easy for you to get the answers you need!

To get started, navigate to the dashboards tab, and select the Collections Board.

Make sure you have the correct location(s), view, timeframe, and production type selected.

Start in the AR Aging metric by selecting the source details (magnifying glass icon) to view patient details for anyone with an outstanding balance.

*Source details are only available in a single-location view.

In the source details view, you have a few options.

Use the filters at the top to filter through different groups of patients, and click on the guarantors name to pull up their patient card. From there, you can make calls or texts to try to settle the balance immediately, or create follow up reminders for yourself or a team mate.

If payments is part of your DI subscription, you can select multiple patients and send them a payment request.

2. Accounts Receivable Dashboard

*Applicable to payments subscribers only.

The Accounts Receivable dashboard gives you a clear view of overdue balances, payments, and credit balances. It helps your team stay on top of outstanding accounts and monitor cash flow, with straightforward tools to take action on what you see.

Navigate to the Revenue Cycle Dashboard, then click Payments to find the Accounts Receivable page

Review outstanding AR and status by filtering patients. Click the dropdown arrows available on the columns shown to filter the populated patient list.

Once you have your desired group of patients, save that list in your Filters Library

Suggested Lists to Save

Below are a few common lists you may want to create and store in your Filters Library:

Accounts Overdue (30+ Days)
Use this list to identify accounts that need follow-up after initial outreach.

  • Last payment request sent: Over 1 week ago

  • Open claims: 0

  • Aging: 31+ days

Final Collection Call
Use this list for accounts that may require a final outreach before escalating collections.

  • Open claims: 0

  • Aging: 90+ days

  • Last payment request sent: Last month

Large Balances (Treatment Plan Candidates)
Use this list to identify patients who may benefit from structured payment options.

  • Open claims: 0

  • Amount due: Minimum $100

Collecting Payments

1. Payment Plans

A key benefit of using payment plans through Dental Intelligence Payments is the ability to securely store a card on file and automatically process scheduled payments.

You can track the status of any payment plan in the Payment Plans dashboard under the Revenue Cycle tab.

Payment plans can also be presented directly alongside treatment plans. When creating a treatment plan, any configured payment options will appear in a dropdown during presentation.

The patient can select a preferred option, sign the agreement, and provide card information along with consent for recurring monthly charges. To see the patient experience, click here.

This process reduces manual follow-up and significantly streamlines administrative work for your team.

2. Bulk and Single Payment Requests

You can send payment requests in bulk from the Accounts Receivable dashboard or individually through the three-dot menu for each patient. Each option is designed to fit your workflow so you can choose what works best in the moment.

When sending a payment request in bulk, the patient will receive a message with a link to pay online. You can also set up an automatic follow-up reminder campaign if payment is not made.

If you prefer to collect payment while the patient is in the office, you can use the three dot menu to collect payment from your payment terminal.

If you are accepting payment over the phone, use the virtual terminal to manually enter their information.

3. Automatic Payment Reminders via TouchPoints

Dental Intelligence TouchPoints are automated campaigns you can enable for patients who meet specific criteria.

You can turn on a TouchPoint for past due balances and customize the rules based on factors like when the last payment request was sent, the amount owed, number of open claims, and the age of the account. You can also include follow-up messages if a payment isn’t made.

This is a helpful tool if you want to automate actions you’d normally handle manually in the Accounts Receivable dashboard.
