Engagement: How to Prepare and Send a Form in Spanish

Learn how to prepare and send forms to patients in Spanish

By default, Engagement offers a variety of forms in English as well as Spanish. You do not have to make any special customizations to be able to offer these standardized forms in Spanish. To make things even easier, forms submitted in Spanish are written back in English for your convenience.

Review Forms in Spanish

To review the forms available in Spanish within Engagement:

  1. Navigate to Settings by clicking on the gear icon in the upper right corner

  2. Click on the Forms tab, then click on Select language dropdown and choose Spanish

  3. Click on Default to preview the form, or click on the pencil icon to make changes (must have Forms Editor permissions enabled)

  4. If you would like to make Spanish the default language for all automated forms messages, be sure to click Save before leaving the Forms tab in Engagement. Otherwise, change the language back to English, and click Save

Need to offer a form in another language other than English or Spanish? Submit a forms ticket. Please allow 5 business days for your forms request to be completed.


How Forms Language Settings Work

The language shown on the form is based on the language of the device that the forms are received on UNLESS the forms have been sent manually in another language.

A few things to remember when sending forms:

  • If you are sending a form to a Spanish-speaking patient at a kiosk or other device where the device language may not be set to Spanish, be sure to manually change the preferred language of the form to Spanish. Forms are sent in the default language selected in Engagement (English) unless otherwise selected.

  • Automated forms are sent in the default language (English) that has been selected in Engagement. If the recipient's device is set up in another language, the form will be shown in their device's language.


Send Forms Manually in Spanish

If you are sending a form to a Spanish-speaking patient at a kiosk or other device where the device language may not be set to Spanish, you can send a Spanish version of their forms manually by doing the following:

  1. In Engagement, click on the 3-dot menu next to the patient name

  2. Choose Forms, then Prepare forms and consents

  3. Select the delivery channel and select the device (if sending to a kiosk) and choose the delivery authorization (QR code or initials)

  4. Select the forms you would like to send

  5. Choose Spanish as the preferred language to send the selected forms in Spanish

  6. Click Send & Close

Important note: Messaging in Engagement is only available in English and is not translated based on the recipient's device.

If you would like to send messages to both English and Spanish speakers (or any other language), modify the verbiage to show your message in each desired language within the same template. For example:

English and Spanish speaking patients receive the message including both languages, so everyone will know how they need to respond!
