Can Follow Ups be created automatically when patients are due or past due for hygiene?

How do I create Follow Up Tasks in bulk?

You can create Follow Up Tasks in bulk using the Patient Finder in Analytics. Click here to learn how to create a list and then assign Follow Up Tasks.

Can I add multiple Follow Ups to a single patient for Unscheduled Treatment?

You can only set one automated unscheduled treatment follow up per patient. After attempting the task, you can set a new date (instead of closing it) to account for additional unscheduled treatment.

Do Follow Up Task notes show up in my PMS?

Yes, if the Follow Up Notes Sync setting is enabled, all Open Dental, Eaglesoft, and Dentrix users can view these notes in their practice management software. Click here to learn how to enable this setting.

How do I follow up with patients referred to a specialist?

You can create a custom follow up using the "Other" Follow Up Task type for any special cases where your team needs to remember to reach out to a patient at a future time. Can I reassign a task to a different team member?

Questions about closing or deleting Follow Up Tasks

How do I close a task after 3 attempts?

Tasks are not closed after a certain number of attempts. If you would like to remove a task after multiple attempts, you can delete it by clicking on the trash can icon.

When do manual tasks close if the auto-complete setting is enabled?

If you have the auto-complete setting enabled for manually created tasks, these tasks will close when the attempt meets the closure rules. Click here to learn more about when task types are closed.

What types of Follow Up Tasks are automatically completed?

Follow Up Tasks that are created automatically will also be completed automatically, regardless of their type.

However, Follow Up Tasks that are created manually must have the auto-complete manual Follow Up Tasks setting enabled in order to be completed automatically. If this setting is not enabled for each task type, manually created Follow Up Tasks must be completed manually as well.

When will Follow Up Tasks be automatically completed?

Follow Up Tasks are completed automatically during the nightly sync with your practice management system on the night that the requirements to close are met.

The requirements to complete the Follow Up Task are inverse of the requirement to automatically create them. If your practice has set up auto-delete settings to automatically delete past due Follow Up Tasks after a certain time period, those rules will apply.


Broken Appointments will be closed if any appointment get's scheduled for the patient, regardless if it has the same codes as the appointment that was broken.

Appointment Confirmations will be closed once the appointment has been completed.

Hygiene Recare will be closed once the patient is scheduled for a hygiene visit.

Unscheduled TX will only be closed if the future appointment is not hygiene. Click here to learn more about Unscheduled TX Follow Ups. Follow Ups only consider the patient as seen at the office based on the "Visit" logic. Click here to learn more about the differences between seen and visit metrics. This logic ONLY affects Unscheduled Treatment Follow Ups, since they are the only type that is based on when the patient had an appointment.

Past Due AR will be closed once the patient's balance has been collected and recorded in their ledger.

Past Due Claims will be closed once the insurance claim has been closed out in the practice management system.

Post Op and Other will not be deleted unless the auto-delete setting is enabled.

How do I delete past due Follow Ups?

You can delete past due Follow Up Tasks by enabling the auto-delete setting for each task type. Enter the past due time period that the task should be deleted and save your settings. Click here to learn how to enable the auto-delete setting.

You can also manually delete past due tasks by clicking on the trashcan icon in the Follow Up Tasks dashboard or in the patient card.


Questions about tracking Follow Up results

How do I create a list of patients with open Follow Ups?

You can create patient lists by patients with open Follow Up Tasks in Patient Finder. Just choose the Follow Up Task filter and select the date range and Follow Up Task type to generate a list of patients with Follow Up Tasks that matches your criteria.

If a patient is inactive in my PMS, will the patient still show up with an open Follow Up if one has been created for them in Analytics?

If a patient is inactive in your practice management software but the patient has an open Follow Up in Analytics, the inactive patient will still show up on your Follow Up Tasks list.

Why are some of my Follow Up Tasks missing today?

If you believe that open Follow Up Tasks are not showing on your Open Follow Ups dashboard, it may be because the task has already been attempted today or it has been rescheduled by another team member.

Why aren't all of the task types showing on the Follow Up Tasks dashboard?

You might notice in the Follow Up Tasks dashboard Type dropdown that not all task types are available to select. The dropdown only includes task types that are currently due in the date range you have selected.
